Job Description & Responsibilities

This position will be responsible for providing administrative support to ensure efficient operation of the office. Primarily supports the President/CEO and the management team through a variety of tasks related to organization and communication. The individual is personable, conscientious, and diligent, maintaining a high degree of confidentiality. The ideal candidate for this job is resourceful, takes initiative, has a great aptitude for resolving problems with a sense of urgency and possesses exceptional organizational skills. They will contribute to the team by being proactive, following up and accomplishing goals.

Key Responsibilities:

  • Generate professional emails, reports, meeting minutes and other correspondence
  • Answer, initiate and direct phone calls
  • Organize and schedule appointments and meetings
  • Assist in the preparation and maintenance of digital records and regularly scheduled reports
  • Communicate regularly with Sales team and external customers
  • Updating records – sending regular reports to the President/CEO
  • Update and maintain email lists, web site locations, office policies and procedures
  • Maintain digital and manual filing systems
  • Coordinate travel (individual and group); reconcile and submit expense reports
  • Support all aspects of Logistics and Installations as required
  • Organize internal deployment of new location paperwork
  • Coordinate location service visits and appointments
  • Prepare and maintain reports of customer and location profiles
  • Communications regarding client accounts/sales support
  • Maintain accurate record of commission structure for all sales representatives/distributors
  • Other duties as required

Position Requirements:

  • Proven experience as a professional, customer centric administrative assistant
  • Demonstrated ability to work collaboratively and independently
  • Excellent written and verbal communication skills – fluency in English is mandatory
  • Superior detail-oriented organization skills and dedication to following up and meeting deadlines
  • Excellent time management and problem-solving skills; with the ability to prioritize work and problem solve
  • Proficiency in MS Office (MS Excel and MS PowerPoint) and assorted office equipment

Job Type: Full-time

Salary: $40,500.00-$45,400.00 per year

Experience:

  • Administrative: 3 years (required)
  • Administrative experience: 1 year (preferred)
