Our Sudbury Operations have been in existence for more than 100 years. With five mines, a mill, a smelter, a refinery and nearly 4,000 employees it is also one of the largest integrated mining complexes in the world. Sudbury is also home to several administrative sites serving both the Ontario Operations as well as all our North Atlantic Operations.

Port Colborne is home to our Nickel Refinery where raw materials from our Sudbury operations are processed into electrocobalt and precious metals and serves as a distribution centre for finished nickel products.

We are part of the Global Business Solution team responsible for the FEL3 development and the execution of a portfolio of Capital Projects in Base Metals North Atlantic, including Surface, Underground, Tailings, Energy, and Environmental Projects. Aligned with strategic planning, our scope of work supports business growth with a direct impact on the operational results of Canada operations. The Opportunity

We are currently seeking an Administrative Assistant III to join our North Atlantic Projects Group in Sudbury, Ontario . This is a permanent position.

As an Administrative Assistant III, you will provide administration assistance on daily basis. This can involve scheduling/organizing meetings, travel (domestic & international), visa requirements, vacation scheduling, filing, typing, mail/file distribution, invoice management and administration of contracts, maintaining contact with all offsite offices, liaise with head office and other business locations. Additionally, in this position you will:

  • Frequently communicate with senior-level internal and external contacts and be regularly exposed to confidential data.
  • Provide and obtain information from other managers and directors or outside representatives.
  • Receive and screen telephone calls, letters, and/or visitors, answering routine questions and obtaining and providing information to save executive's time.
  • Schedule appointments and coordinate arrangements for meetings and conferences and travel arrangements (flights, car rentals, hotel bookings)
  • Organize and maintain the Executive's correspondence and records, following up on pending matters with limited direction.
  • Draft correspondence for Executive's final approval.
  • Prepare complex reports, and assists with gathering, summarizing, and analyzing data.
  • Organize and prepare complex documents requiring the integration of multiple office technology and software applications. May act as an office resource for word processing and spreadsheet application.
  • Process invoices for payment into the SAP system and maintain invoice filing system. Ensure prompt payment to suppliers with agreed upon timelines. Investigate and resolve any issues arising.
  • Administer contracts and enter purchase requisitions in SAP, liaising with Procurement and with contract managers as needed.
  • Transcribe dictation of a highly technical and confidential nature.
  • Work independently with only general guidance on a variety of special projects.
  • Assist in managing department costs by consolidating information, monitoring spending throughout the year, and participating in management routines, engaging the Finance analysts as needed.

About You

Education:

  • Post-secondary degree/diploma in administrative or business studies

Experience:

  • A minimum of 5-7 years of relevant experience

Skills:

  • MS Office experience using Word, Excel, PowerPoint
  • Competency with Enterprise Management applications such as SAP
  • Highly organized and able to maintain confidential information
