Oncore Seniors Society operates within the RiverBend Seniors Community. We are a non-profit that provides affordable housing to seniors in a beautiful caring environment.

This position works independently, but takes direction from and reports directly to the General Manager. The Administrative Assistant is expected to operate with the highest level of confidentiality and provide guidance to staff as necessary. This position interacts with a wide variety of employees as well as internal and external representatives including suite owners & renters, technical experts, and other stakeholders.

Monday – Friday 8-4pm

Skills & Abilities:

· Able to work with seniors and provide excellent communication skills, compassion, and patience

· Proven ability to execute advanced office procedures and practices

· Effective bookkeeping skills

· Strong computer skills including QuickBooks, Microsoft Office applications (Word, Excel, Publisher, Outlook)

· Strong organizational, planning, and problem solving skills

· Ability to resolve issues in a calm, rational and sometimes creative manner

· Ability to prioritize tasks and to multi task

· Have a flexible attitude able to adjust to any situation that might arise

Requirements:

· Minimum of five years related experience with proven results

· Successful completion of related post-secondary office skills training

· 3 employment references

· Criminal Record Check for working with the vulnerable population

· Able to type a minimum of 45 words per minute

Duties will include the following:

· Being the first point of contact for residents and visitors entering the building while providing excellent customer service and assisting with daily issues

· Answering phones, forwarding calls, taking accurate messages, resolving queries and providing information as required

· Receiving, sorting and distributing all mail for the Manor residents in a timely manner

· Compiling, printing, photocopying and distributing reports and newsletters as required

· Maintaining a list of contacts for outside agencies, stakeholders including government and regular committee/board members

· Maintaining a list of residents showing full names, phone numbers, and other details including: walker/cane/oxygen users, license plate numbers, vehicle description, parking stall numbers, and pets

· Maintaining an up to date waiting list with complete details

· Preparing correspondence and signage and distribute accordingly

· Monitoring and ordering office stock supplies as approved by the General Manager

· Managing Dining Room meal cards, ticket sales and keep proper records

· Taking bookings for Private Dining Room and communicating information to Dining Room and Kitchen

· Taking reservations and payments for Hospitality Suite rentals

· Monitoring and maintaining the Cash Call software allowing phone calls to be tracked and billed internally to individual residents on a monthly basis

· Operating the Moneris machine to receive payments and print reports

· Working with QuickBooks to create sales receipts, record deposits and other accounting tasks as required

· Completing accounts payable and receivable as required

· Maintaining accurate petty cash with supporting documentation

· Showing suites and conducting building tours to potential renters

· Being knowledgeable about the building and Oncore and communicate proper information

· Collaborating with appropriate people to prepare and distribute weekly/monthly menus

· Preparing weekly meal sheets for the dining room

· Ensuring technological and telecommunications needs are maintained, resolving computer software and hardware issues

· Maintaining company website, PG website and assisting with Kamloops website, handing issues and changes where necessary

· Performing all duties and responsibilities in accordance with the RiverBend Manor policies, standards, and procedures

· Maintaining confidentiality on all matters relating to the affairs of RiverBend Manor

· Assisting with the various social functions at the direction of the General Manager

· Moving and organizing chairs and furniture where necessary

· Assisting with staff scheduling including arranging coverage for unexpected staff absence when required

· Assisting the General Manager where necessary and any other duties as required

Salary: $18.00 to $20.00 /hour
