Responsibilities


Administers stationery supply ordering system and performs a variety of duties related to the preparation, distribution, delivery and shipment of stationery items. Provides administrative support for various printing requests, equipment and activity logs. Operates computerized folding/inserting machine to fold and stuff cheques and other items. Receives, dispatches and distributes internal, Canada Post and couriered mail for CMBC, TransLink and BCRTC. Screens arrivals at the loading dock and mail room entrance, assists with receipt of deliveries and shipments. Oversees the maintenance and servicing of TransLink pool vehicles. Coordinates and administers Sapperton building access. Coordinates and administers employee paid parking program at Sapperton. Coordinates building maintenance services for Sapperton head office. Monitors Conference Centre and meeting room bookings. Provides relief for the Mail and Delivery Driver by loading and unloading of mail and heavy Lost Property bins (up to 50 lbs.). Responds to group inbox and admin helpline enquiries as assigned. Provides Corporate Reception relief coverage, as required.

Qualifications


EDUCATION

Requires successful completion of grade 12, including courses in office procedures and computer software (e.g. database, spreadsheet and word processing), plus a valid B.C. driver's licence with no penalties.

EXPERIENCE

Requires (6) months previous experience in a large office environment. Requires six (6) months in the position to become familiar with TransLink procedures, mail room practices, administrative tasks and the use of various computerized photocopying machines and related equipment, including any relevant on-the-job training courses.


Other Information


  • Support provided to the Joint Occupational Health & Safety Committee with tasks at Sapperton HQ.
  • Troubleshoot miscellaneous facility requests.
  • Completing items from daily, weekly and monthly task list, including restocking kitchens, copy rooms, daily parkade checks, restocking coffee machine/supplies, checking lights, etc.
  • Oversees and actions name plate requests, indoor plant maintenance and coordinates handyman services and office furniture requests, as and when required.
  • Customer Service focussed and builds rapport with external vendors regarding facilities matters.


Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions.

Rate of Pay


Salary: $4,287 to $5,160 per month (Actual salary offered will be commensurate with education, experience and internal parity)
