Range of Pay: $26.40 to $30.64 per hour
(Training Opportunity range of pay is $25.66 to $30.03 per hour. The successful candidate will be paid at the reduced range until the minimum qualifications have been met.)

Duties: Under the general supervision of the Manager of Arenas and the functional direction of the Co-ordinator of Events and Administration.

1. Provide prompt, accurate, and courteous customer service and resolve staff and citizen inquiries in a timely and efficient manner as required.

2. Assist with maintenance of website content information and update information in the facility booking and program registration software.

3. Perform clerical and typing duties for department staff, including compose, design, and type reports, manuals, and documents as required.

4. Provide information to the public and monitor telephone calls, emails, CRM, and in-person inquiries.

5. Prepare and process requisition for program, equipment, and facility supplies.

6. Perform hourly and salary timekeeping duties for the section, including maintaining all employee records. Arrange documentation appointments for new employees.

7. Process electronic ticket transactions for events, as presented for sale to the public.

8. Prepare billing advice, process invoices, and assist with collection of overdue accounts and delinquent accounts.

9. Assist with the overseeing of box office staff during regular business hours as required.

10. Perform and maintain facility bookings, payments, refunds, and arena registration as required.

11. Track and provide reports for month-end box office ticketing to the Finance Division.

12. Maintain filing system, including electronic records and an appropriate “Bring Forward” system.

13. Perform required administrative duties for section meetings, special committees, and advisory panels (i.e., general administration, recording secretary).

14. Coordinate staff training session and tracking or training records for arena employees. Act as section Learning Management System (LMS) administrator for core Health and Safety and Corporate Training.

15. Develop and maintain a thorough working knowledge of CGS’s Safety Manual and the applicable provincial legislation listed therein.

16. Perform other related duties as required.

Qualifications:

  • Successful completion of Secondary School (Grade XII) Education.
  • Customer Service, Dealing with Difficult People or Conflict Resolution Training an asset.
  • Accounting, business administration, or timekeeping courses an asset.
  • Over two and one-half (2½) years up to and including five (5) years of diversified experience in the same or related fields including the selling and issuance of tickets using an automated computer ticketing system, facility booking software, and timekeeping experience.
  • Demonstrate ability related to microcomputer software and administrative systems in a Windows environment (e.g., file maintenance, word processing, spreadsheet applications, information input and retrieval).
  • Demonstrate interpersonal skills in dealing with the public, staff, and outside agencies in a courteous and effective manner.
  • Excellent use of English; verbally and in writing.
  • French verbal and written skills an asset.
  • Satisfactory health, attendance, and former employment history.
  • Provide at own cost, a Criminal Record Check.
  • Physical capability to operate a vehicle safely, possession of a valid driver's licence and an acceptable driving record will be considered an asset.
