General Statement

The Archdiocese of Ottawa-Cornwall is looking for an excellent bilingual (French and English) communicator to fill the position of Communications Assistant. The Archdiocese is a catholic organization that includes 130 parishes. It is currently building its brand-new Communications and Mission Promotion Department to support these parishes and the Archdiocese’s Missional work. Summary

The Communications Assistant, under the direction of the Director of Communications and Mission Promotion, is primarily responsible for assisting the Department of Communications and Mission Promotion in supporting the diocesan centre and parishes with their communication needs. The Communications assistant will assist in creating and disseminating internal and external communications materials. and assist in ensuring communications policies, tools and guides are up-to-date and brand standards are respected throughout the organization. This position will oversee the daily monitoring of all online communication vehicles for Archdiocese of Ottawa-Cornwall, including but not limited to Archdiocese of Ottawa-Cornwall’s website and social media accounts.

What you will do

  • Provide direct support to the Director of Communications and Mission Promotion.
  • Provide support for managing the contact data systems
  • Assist parishes and archdiocesan departments with their communication needs
  • Create and edit forms and planning tools to support communication department initiatives
  • Write and edit internal and external marketing and communications materials, including, but not limited to, press releases, newsletters, email messages, blog posts and social media content
  • Conduct research to support the creation of content for traditional and digital media
  • Assist in moderating social media platforms and mailboxes
  • Assist with media monitoring and provide briefing notes
  • Provide editing support for website and social media platforms as required
  • Create and edit forms and planning tools to support communication department initiatives
  • Assist in ensuring the communications policies, tools and guides are up-to-date
  • Ensure that all communications and marketing material align with brand standards
  • Assist with outreach initiatives to build strategic partnerships and grow brand notoriety
  • Assist with press conferences and Mission event planning
  • Coordinate the work of volunteers and vendors to support the work of the department
  • Stay up to date on industry trends and make recommendations for adjustments to communications strategies and practices

Required Skills

  • Bachelor’s degree or college diploma in communication, journalism, marketing, social sciences and related fields or acceptable equivalent combination of education and experience
  • Fluently bilingual (oral and written) French and English
  • Excellent communication, customer service, organizational and presentation skills.
  • Maintain and promote record keeping in accordance with organizational standards
  • 1-2 years of experience in an administration or communication support role
  • Exceptional writing and interpersonal communication skills
  • Experience in maintaining confidentiality, managing several priorities and projects at a time
  • Excellent attention to detail and solid copyediting and proofreading skills
  • Flexible and able to work both independently and as part of a team
  • Customer-oriented with superior problem-solving skills
  • Proficiency using basic Microsoft applications (Word, Excel, PowerPoint) and familiarity with Microsoft Office 365.
  • Capability of quickly learning a variety of software programs and applications
  • Knowledge of email marketing software and experience running digital campaigns is an asset
  • Continuous improvement abilities to enhance day-to-day practices and policies.

Work conditions and location

  • 1209 Michael Street, Ottawa, ON
  • Full time 37.5 hours per week
  • Permanent position
  • Monday to Friday 8:30 a.m. to 4:30 p.m (including a 30-minute unpaid lunch break)
  • Extended periods of sitting
