ABOUT THE LEFTOVERS FOUNDATION

The Leftovers Foundation’s mission is to reduce food waste and prevent the greenhouse gas emissions caused when good food is left to rot. We believe one of the best ways to do that is to get the food to community organizations working with vulnerable populations, ensuring that it can be used where food is most needed. Our flagship program, Rescue Food, mobilizes volunteers through a dedicated app to connect local vendors who have surplus food to service agencies running food access programming. Leftovers currently operates in Calgary, Edmonton, Winnipeg, Hinton, and Airdrie. Leftovers is currently a fully remote organization and has no physical offices. The majority of staff work from home.

PURPOSE

The Event Coordinator is responsible for planning, coordinating, executing, and evaluating fund development and volunteer events in Leftovers’ cities of operation (Edmonton, Calgary, Winnipeg currently). This position reports directly to the Executive Director, but will also work in conjunction with the rest of the fund development team, as well as the City Coordinator in events in each city. Events will primarily be fund development in nature, with the occasional opportunity to support City Coordinators with volunteer and community engagement events.

KEY ACCOUNTABILITIES AND RESPONSIBILITIES

  • Assist in creating budgets for events and fundraising targets
  • Planning and executing event logistics including venue and program research and planning
  • Communicate with potential vendors and negotiate for best terms
  • Manage event operations (prepare venue, manage invitations, schedule, prepare equipment, clean up)
  • Participate in evaluation of performance of events
  • Manage and train event volunteers
  • Assist with marketing of events and promoting attendance
  • Communicate with the team, including City Leads, to ensure events flow smoothly in each city
  • Assist with coordinating aligned fundraising initiatives for events (e.g. silent auction and 50/50 raffle)

ADDITIONAL TASKS

  • Work with the Executive Director and Marketing/Fund Development staff on other fund development initiatives
  • Support Leftovers in project work as capacity allows
  • Other tasks and responsibilities as assigned by the Executive Director

QUALIFICATIONS

Leftovers’ ideal event planner will be

  • Experienced in planning events (1+ years)
  • Familiar with Google’s G Suite of programs (Gmail, Drive, Docs, Sheets, Forms, Calendar, etc.)
  • Able to plan, organize, and manage time efficiently in order to meet deadlines
  • Excellent interpersonal skills, with the ability to manage and develop relationships, communicate effectively both verbally and in writing, and gain the confidence of a wide range of different stakeholder audiences
  • Able to solve problems, prioritize, and remain focused under pressure
  • Able to work both independently and as a member of a team
  • Able to act as Leftovers’ ambassador in a positive and professional manner
  • Able to effectively manage multiple projects simultaneously
  • Able to accommodate a flexible work schedule for evening/weekend events
  • Able to travel to cities where events are being held (Calgary, Edmonton Winnipeg, expenses will be covered)
  • A valid class 5 license with access to a vehicle is required as you will be using your vehicle for work purposes
  • The successful candidate will ideally live in one of the cities we operate in

Not required, but additional bonus points for candidates who are

  • Familiar with working or volunteering in a non-profit environment
  • Familiar with program management software (e.g. Asana) an asset
  • Familiar with remote work and associated software (e.g. Zoom)

COMPENSATION

  • $20/hour, up to 20 hours per week
  • 6 month contract to start June 2023 with a intent to renew position for 1 year based on fundraising success
