The Ministry of Justice and Attorney General provides a fair justice system that upholds the law and protects the rights of all individuals in Saskatchewan; promotes safe and secure communities; and provides legal and justice policy advice to government.

The Public Complaints Commission (PCC) and Serious Incident Response Team (SIRT) has an opportunity for a highly-skilled, well-organized and dynamic professional for the role of Executive Administrative Assistant. The Executive Administrative Assistant will consistently demonstrate leadership, supervision, teamwork and communication skills in all work transactions. They are trustworthy, diplomatic and able to sustain trust, respect and confidence of the office, branch and ministry with their professional, respectful, tactful and discreet demeanor when dealing with individuals and handling sensitive information. They are well versed in government structures, protocols, policies and procedures and have exceptional abilities in managing and developing various correspondence to meet the needs of the ministry.

The Executive Administrative Assistant provides administrative leadership and office management support to the Civilian Executive Director, manager(s), division staff and clients as required by:

  • planning, scheduling and prioritizing meetings and other events including the coordination of travel and event logistics;
  • formatting and proofreading a variety of sensitive and confidential documents such as ministerial correspondence, briefing material, budget documents, reports, emails, presentations and meeting minutes; compiling background information;
  • maintaining office filing through records management including electronic filing, manual filing, preparing files for archiving and/or storage and adhering to the Freedom of Information Policy (FOIP);
  • establishing administrative policies/procedures and maintaining quality standards for correspondence and other ministry documents; and
  • using automated accounting software and doing basic accounting, monitoring budget expenditures, maintaining petty cash, balancing receipts and/or money collected, processing invoices, etc. Ensure compliance with financial policy and procedures by reviewing, monitoring and approving ministry financial transactions as needed (e.g., reviews credit card purchases, approves invoices for payment).
  • Hiring, training, determining support priorities, and direct supervision of administrative staff. This requires knowledge of payroll and personnel functions, collective agreement (e.g., shift schedules, overtime), Human Resource manual (e.g. leaves of absence including medical leave); etc.

Typically, the knowledge and experience required is obtained through a Legal Assistant Diploma, combined with several years of experience in a legal office environment. Experience working in a law enforcement environment will be considered an asset.
