We are seeking an outgoing, detail-oriented, efficient person to join our amazing Admin Team in providing administrative support to our Counselling and Consulting firm. The ideal candidate will have an understanding of antiracism, diversity, equity and inclusion, in addition to an anti-oppressive practice lens while being adept at prioritizing, multi-tasking and have a positive attitude. This Candidate will also be willing to learn and grow with us!

Pay: $20/ hr. plus 4% in lieu of vacation
Remote; with possibility for hybrid in the future

We provide high-quality, culturally competent, ethnically sensitive, and trauma-informed services for a diverse Ontario population. You will excel in this role if you possess excellent communication skills and the ability to lead and promote the vision of the firm. You must be able to stay extremely organized, flexible thinking 10 steps ahead, and the ability to see the big picture with an entrepreneurial mindset. You have a passion for helping others as you will be communicating with our clients at a time when they need compassionate support the most.

Qualifications:

  • 2-3 years of experience in Client Care, Administrative support, and/ or Customer Service (preferably in a medical or mental health field)
  • Bookkeeping experience is an asset
  • Psychology / Social Work undergraduate students and graduates are welcome!

Responsibilities:

  • Supporting Psychotherapists and Social Workers with client bookings, consultations, payments, administrating intake & consent forms, etc.
  • Client support: welcoming clients online, answering client inquiries by phone and email
  • Manage correspondence from both counselling and corporate clients
  • Booking corporate meetings, team meetings and client sessions
  • Maintaining Quality Assurance (follow up to payments, securing payment information, uploading secure documents, managing the booking software including schedules and treatments offered)
  • Claims confirmations from Insurance companies

  • Dynamic, self-motivated individual with the ability to work independently, proactively and well under pressure
  • Strong communication skills, ability to communicate professionally and with compassion to clients with patience when dealing with challenging clients
  • Assets for this position are familiarity with web design (WordPress),
  • Familiarity with social media
  • Confidence to share ideas and constructive criticism to help us grow
  • Juggling multiple projects and to-do’s simultaneously is no problem for you — you work well under pressure, meet deadlines and keep promises
  • Tech savvy (we are mostly paper-less and everything is online)
  • An appetite for innovation and simplicity who is highly process oriented
  • Working autonomously comes easy to you but you also love collaborating with a talented team
  • Considerable experience using the Microsoft Office Suite, Google Drive Suite, Gmail, Dropbox, Mac, Windows in a work environment
  • Ability to learn software quickly
  • Familiarity with various software, email campaign management and VOIP/softphone systems are an asset
  • Knowledge of Jane scheduling software is an asset
