This position reports directly to the ownership team and is responsible for managing a wide variety of administrative functions with the primary focus is ensuring that company goals and objectives are met, and that operations run efficiently.

We are currently recruiting an Executive Assistant for one of our valued clients.

Our client is a privately held company that specializes in the transportation of loaded and empty containers to and from the rail yards, steamship lines, freight forwarders and distribution centres within the Greater Toronto Area. They are growing in many areas and are searching for a passionate and driven Accounting Manager to join their team.

This in-office, permanent, full-time role is located in Mississauga, Ontario.

Responsibilities:

  • Overseeing all incoming and outgoing correspondence including emails, memos, phone calls, and reports.
  • Provide scheduling and administrative support to the ownership team, and other management as required
  • Coordinate and maintain electronic calendar/schedule, including adding events, making travel arrangements, rescheduling appointments, and providing daily briefings.
  • Revise letters, memos, and/or any other correspondence to include
  • Attend in-person or virtual meetings, take meeting minutes, and circulate meeting minutes to all attendees with action points.
  • Manage communication between upper management and employees, liaise with internal and external executives on various projects and tasks.
  • Complete research as required for various tasks such as completing applications, setting up accounts, obtaining various licenses.
  • Perform various due diligence research to provide guidance/recommendations to management where required.
  • Create presentations for staff, client, and vendor meetings.
  • Maintain confidentiality of highly sensitive information.
  • Develop and maintain a highly professional with ownership team, employees, vendors, and clients.
  • Order lunches, dinners, and retrieve beverages as requested.
  • Provide general administrative support with various tasks as requested.

Qualifications:

  • 2 years in a similar role.
  • Transportation, trucking, logistics industry experience is required in any capacity
  • Team oriented and results driven.
  • Well organized and detail oriented.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and ability to work in fast paced environment.
  • Excellent interpersonal skills
  • Clear and concise communication skills both verbal and written.
