Reports to Community Partnership and Programs Supervisor

Department Community Services

Location Lindsay, ON.

Hours Normal working hours are 35 hours per week

Other General office environment. Travel throughout the City of Kawartha Lakes as required.

Essential Duties

· Responsible for the timely and accurate entry of related revenue into the booking system and financial institution

· Primary user of computerized facility booking software system including development and distribution of contracts, invoicing and provision of usage and revenue reports

· Generate and distribute daily and monthly financial and utilization reports

· Communicate effectively and in a timely manner with general public, user groups, and staff

· Continuously update user groups, customers, and staff regarding schedule and requirement changes

· Diligently follow Corporate policies and procedures, ensure proper internal and external protocol is followed during all booking functions

· Input master allocation schedules for ice, sports field and community centers as supplied by the respective supervisor

· Maintain organized electronic and paper files in regard to bookings and updated contact lists for clubs, organizations and user groups

· Liaise with booking software provider regarding trouble shooting and ongoing refinement of the booking module

· Occasional travel to various work locations is required to fulfill the job duties of the position

· Perform other related duties as assigned.

Qualifications

· Post-secondary diploma in Office Administration or a related field

· Minimum 3 years of related progressive experience, preferably in a municipal environment

· Experience preparing statistical reports using electronic resources

· Excellent public relations and negotiation skills

· Demonstrated professional and ethical responsibility to protect privacy, use confidential information appropriately, treat sensitive situations with appropriate degree of tact and discretion

· Demonstrated customer-service and interpersonal skills at a level to develop and to maintain cooperative/collaborative working relationships both within and outside the organization

· Excellent time-management skills with the ability to prioritize workload and meet deadlines, and the ability to deal with multiple demands

· Excellent written communication skills with attention to detail and accuracy

· Excellent organizational and administrative skills with the ability to work independently and in a team environment

· Ability to demonstrate initiative consistently with commitment to quality improvement, sharing process improvement initiatives with management

· Demonstrated ability to understand and abide by municipal policies and procedures

· Demonstrated proficiency in Microsoft Office, the internet, and any other related software

· Upon a conditional offer of employment, a Criminal Record Check will be required
