Community Care Durham is seeking a Facilities Lead to join our team. Working under the direction of the Director of Corporate Services, the Facilities Lead will ensure the operations are meeting all codes and regulations. Coordinating and scheduling general maintenance and upkeep to both the interior and exterior of the building(s), plumbing, electrical, HVAC, grounds repairs, etc. and working closely with other departments/managers to provide excellent service is key. Responsible for fleet maintenance, including scheduling vehicles for routine and urgent maintenance and MTO inspections.

Essential Duties and Responsibilities:

Buildings Physical

  • Ensure building systems are maintained to a safety standard; mechanical, electrical, plumbing and building fabric systems/equipment
  • Conduct regular inspections of workspaces to ensure compliance with Occupational Health and Safety Act (OHSA), Accessibility for Ontarians with Disabilities Act (AODA) and other relevant government regulations.
  • Coordinate and schedule repairs and maintenance (interior and exterior)
  • Monitor facility (tickets) requests, ensuring that service SLA's are met.
  • Coordinate and help maintain building security systems. Be a part of emergency call lists.
  • Provide direction and information to landlords & vendors as required ensuring excellent coordination and execution of work with minimal disruption
  • Secure and dispose of office furniture, equipment, supplies, etc.
  • Assist in the implementation and promotion of a "go-green" environment
  • Maintain Capital Budget forecast for facilities-related spending
  • Ensure compliance to building codes, health, and safety standards, etc.
  • Travel between locations as required

Contracts and Administration

  • Ensure contractual performance needs/exceeds quality standards and within agreed upon budgets
  • Process and maintain service contracts including conducting annual review of vendors and contractors’ performance
  • Oversee the purchase and delivery of associated facility and maintenance supplies and the reconciling of vendors billing accounts
  • Act as a Subject Matter Expert (SME), support the RFP and tendering processes

Health and Safety

  • Act as a member of the Joint Health & Safety Committee (JHSC), ensure inspections are completed, share facilitation of meetings & provide follow up on issues
  • Act as Fire Warden and coordinate fire drills in accordance with the Emergency Evacuation Plan
  • Coordinate interoffice moves and relocations
  • Provide support to both internal and external stakeholders regarding facilities-related inquires

Fleet Maintenance

  • Ensures vans are up to date with service regulations, monitoring all needed repairs and routine maintenance checks
  • Ensuring all vans are seasonally inspected
  • Assures compliance with timely accident and vehicle damage reporting, vehicle safety inspections and emissions inspections.
  • Work with external vendors, including mechanics

Qualifications:

  • Minimum 2 years of relevant experience in a Facilities role, and or post-secondary education in Facilities Management or equivalent education/facility related experience
  • Knowledge of building Mechanical Systems
  • Certified Worker Representative of the Joint Health & Safety Committee (JHSC) is an asset
  • Self-starter, willing to learn, able to work independently
  • Valid G or G2 license with access to reliable and insured vehicle
  • Ability to prioritize with workload and manage various programs
  • Demonstrated facilities management experience including experience in coordinating facilities operations
  • Superior decision-making capacity
  • Excellent written, verbal and interpersonal communications
  • Proven experience in conflict resolution
  • Demonstrated commitment to superior customer service excellence with a solution-oriented focus and the ability to work as part of a team
  • {expected physical capabilities should be noted – lifting 25-50 lbs, climbing ladders, etc.}
  • First Aid & CPR training is preferred

Compensation Range: $57,790.71 - $86,686.06

*Pay will commensurate based on education and experience
