Under the supervision of the Executive Director, while supporting the Society’s mission statement, the Front Desk Administrative/Intake Support position uses a forward-thinking, out of the box and creative approach that will be responsible for supporting various administrative projects and day-to-day duties for our organization, supporting our intake processes and being the first line of contact for all clients, visitors, and staff. The successful incumbent’s goal is to support the organization and its mission while being an upbeat and focused member of our team that strives for excellence within all aspects of their work. Availability Thursdays and Fridays.

KEY ATTRIBUTES & DUTIES:

· A welcoming and approachable demeanor with a positive, open, flexible, and ‘can-do’ approach.

· Practices an empathetic trauma informed approach in all client-based interactions.

· Providing accurate information, resources, practical and emotional support to in-crisis clients in-person and over the phone.

· Maintain a high level of confidentiality and professionalism at all times.

· Answer all incoming phone calls and re-direct phone calls accordingly.

· Scheduling/ re-scheduling intake appointments, follow-up appointments and processing cancellations.

· Ordering office supplies.

· Filing and sorting and re-distribution of daily mail & couriers.

· Cheque signing and bank deposits.

· COVID screening & office disinfection as per executive team’s direction.

· Prepare and distribute documents, reports, and information as per the Executive Director’s direction.

· Office management (Kitchen, boardroom, main-areas, washrooms)

· Special projects as assigned by the Executive Director or designate.

KEY ATTRIBUTES & DUTIES:

· Bachelor of Administration Diploma with 2 or more years of relevant experience.

· Possess a strong technical background in the use of computers and computer applications such as Microsoft Office, Microsoft Word, Excel, PowerPoint, and Outlook.

· Strong knowledge of resources available within the Central Okanagan to provide specialized support for our clientele.

· Strong understanding and application of trauma informed practice an asset.
