Can-Am Pepper Company Ltd. is seeking a HR / Food Safety Assistant to start in May 2023 for a 15-month contract with possibility of extension for the right candidate. Located at 52999 John Wise Line, Aylmer, ON N5H 2R5.

Position Overview

Perform full scope of payroll, handling all aspects of 3 Canadian and 1 US payrolls. Provide HR Manager with support on all HR duties including recruitment, health and safety, and training. Assist with Seasonal Agricultural Workers through the F.A.R.M.S. program. Provide support to Food Safety department.

Duties & Responsibilities

Payroll Processing

• Create and maintain payroll records
• Ensure deadlines are met for processing payroll for 4 separate payrolls (3 Canadian-operating companies, 1 US-operating company)
• Ensure accurate calculation of wages and deductions
• Collect completed tax forms from all new employees
• Complete payroll reports for record-keeping purposes
• Answer employee questions regarding pay, tax forms, etc.
• Maintain time records for all employees through manual data entry
• Ensure hours are allocated to proper company/cost center
• Track employee vacation, sick time, and days in lieu for statutory holidays
• Identify, investigate, and resolve discrepancies in timesheets and payroll records
• Honour confidentiality of employee pay records and medical documentation
• Balance company and employee WSIB, EHT, EI, CPP premiums and follow proper reporting protocols; manage year-end reconciliations
• Report monthly and quarterly WSIB premiums
• Distribute pay cheques weekly
• Issue and distribute T4’s and W-2’s
• Maintain weekly GL Excel files for each payroll
• Complete Jamaican Pay Sheets weekly as per Jamaican Liaison requirements
• Ensure proper deductions are made for Seasonal Agricultural Workers
• Handle employee rental agreements and ensure collection of rent

HR Duties

• Set up personnel files and ensure data is updated as necessary
• Answer employee questions and address employee complaints
• Provide HR Manager with support in all areas of HR
• Arrange transportation for workers requiring medical attention

Food Safety

• Enter complete and accurate records into Authentix
• Assist with internal and external food safety inspections and audit preparation
• Assist with the completion of corrective actions and maintain documents for compliance
• Assist with conducting food safety employee training
• Maintain grower and customer compliance files
• Complete customer requests for documentation

Qualifications

• Completion of post-secondary Human Resources, Payroll, or Business Administration program
• Experience in payroll considered an asset
• Experience in agriculture industry an asset
• Ability to maintain confidentiality and conduct oneself in a professional manner
• Ability to work well under pressure and with minimal supervision
• Quick learner who is willing to adapt to the changing demands of a growing company
