An exciting opportunity exists in the Law business unit to provide administrative support to the Deputy City Solicitors, Leader (Legal Support Team) and the lawyers practicing in labour relations law in Legal Services. This position reports to the Deputy City Solicitor (advocacy) and requires quick responses to complex matters, many of which are highly confidential in nature. Primary duties and responsibilities include:

  • Compose and process correspondence on a wide variety of documents, including confidential documents relating to personnel, labour relations, and policy matters.
  • Open, review and maintain confidential files (paper and electronic).
  • Prepare, review, and arrange for execution of a variety of documents including complex contracts and documentation, as well as court forms including legal briefs.
  • Maintain direct contact with the legal/court system, private industry, general public, elected officials and staff from all levels across the Corporation.
  • Prepare meeting materials.
  • Assist as necessary on a variety of corporate matters and projects.
  • Provide back-up assistance to the Administrative Assistant supporting the City Solicitor & General Counsel.
Qualifications
  • A completed 1 year certificate, including courses in legal studies, and at least 4 years of recent administrative assistant experience in a legal environment; OR a completed 2 year certificate or diploma, including courses in legal studies, and at least 1 year of recent administrative assistant experience in a legal environment.
  • Equivalent combinations of experience and education may be considered.
  • Advanced proficiency with Microsoft Word, Outlook and PowerPoint with the ability to format large word documents is required.
  • Preference will be given to applicants with the following experience:
    • Experience as a Legal Assistant or Paralegal;
    • Legal experience working in litigation, labour relations or employment law;
    • Experience with PeopleSoft Human Capital Management ( HCM) and Financial & Supply Chain Management (FSCM), ProLaw, LiveLink, and/or Microsoft Teams;
    • Knowledge of City policies, procedures, forms and documents.
  • Success in this position requires excellent organizational, interpersonal and communication skills, attention to detail, confidentiality, accuracy, flexibility, the ability to exercise independent judgment, political sensitivity, the ability to work with minimal supervision in a team environment, the ability to take on various assignments with various teams in Law and to handle multiple priorities in a limited timeframe.
