Position/Poste: Program Assistant, Community Programs and After Stroke (Full-time)

Duties/Fonctions:

Reporting to the Associate Director, Community Programs & After Stroke, the Program Assistant (PA) provides program support to Community Programs and After Stroke (CPAS), volunteers, and MODC CPAS staff, including Manitoba-based casual community navigators. Although located in the Province of Manitoba, work of the CPAS department is done through partnerships with other organizations and with other MODC programs/departments.

The Program Assistant communicates standards and ensures new and existing staff within the department are aware of, share, and comply with corporate standards. The incumbent must be familiar with all personnel policies and organization standards of MODC.

The Program Assistant is responsible for creating/updating and communicating policies and procedures related to the programs they support. The incumbent must understand and be able to effectively communicate how their work interplays with other areas of the department / program / organization / external environment.

The Program Assistant requires excellent customer service, communication, analytical and organizational skills. Flexibility to changing demands of the job is important in this position.

The Program Assistant must be able to work under pressure, meet deadlines, take verbal and written direction and follow through to completion. They must show initiative in dealing with many varied situations that arise, seeking direction as required. The Program Assistant must manage workload and work area in a healthy and safe manner and manage change in a constructive and positive fashion.

As a staff member, the Program Assistant must function as part of a team. Participation is expected in departmental or organizational initiatives such a fundraising or the administrative support group. After hours work will be required occasionally to prepare for and follow up to meetings and events or to meet deadlines.

Responsibilities:

  • Providing program assistance and support to the management team and CPAS programs
  • Performing a wide variety of administrative duties including but not limited to responding to internal and external requests for information; assisting in the preparation and distribution of departmental reports; processing regular requisitions and purchase orders; booking travel arrangements; conducting research and assembling / summarizing information for special projects and reports
  • Managing files in a case management system
  • Organizing meetings which includes serving as the recording secretary
  • Providing HR administrative support including the processing and administering for new and/or departing employees
  • Supporting the work of Manitoba-based part-time casual community navigators
  • Regular report creation and trend monitoring to ensure department/program objectives meet the needs noted by our clients and funders
  • Assisting in coordination and communications between departments
  • Other duties as assigned

Qualifications/Compétences requises:

  • Minimum Grade 12, Commercial/Business College Diploma
  • Minimum 3 years with related finance and administrative experience
  • Experience working with the disability community, knowledge of disability issues
  • Experience establishing and maintaining highly effective working relationships with all levels of staff
  • Strong attention to detail, ability to maintain confidentiality while managing sensitive material and client information with the utmost professionalism
  • Self-motivated, a team player, skilled at multi-tasking and independently managing and prioritizing multiple projects with limited guidance and ambiguity
  • Flexibility, ability to operate effectively and with composure under pressure and within time constraints
  • Skilled in executive-level verbal and written correspondence
  • Strong working knowledge of Microsoft Word, Excel, PowerPoint and the ability to learn a case management system
