Status: Temporary Full-Time (Approx. 8 months - mat leave replacement)

The Research Administrative Assistant I position reports directly to the Principal Investigator of the Neuron to Brain Lab located within the Krembil Brain Institute. The Neuron to Brain Lab is comprised of both basic and clinical research teams that use electrophysiological methods to investigate, in human and/or mouse brain, the mechanisms of seizure initiation and the imbalance between inhibition and excitation in cellular networks caused by epilepsy and seizure.

Key Responsibilities:

  • Provide administrative support and coordination to Neuron to Brain Lab PI and staff, including managing PI calendar, scheduling meetings, preparing meeting documents, coordinating travel arrangements, general reception, and other clerical duties as required.
  • Retrieval and response to all enquiries for the lab; this includes in person, voice mail, hard copy mail, and email messages for the office.
  • Arrange meetings, distribute background information and agendas, book and set up rooms, take and transcribe minutes, circulate minutes in a timely manner, and follow-up as necessary.
  • Ability to maintain effective and productive working relationships with internal and external stakeholder, including supporting hiring, onboarding and collaborations across PIs’ collaborations.
  • Provide support to maintain Neuron to Brain electronic information support systems (project management portals, REB portals, Invoicing, grant contracts, finance expense reports).
  • Communicate with senior level stakeholders including government officials, university authorities and the research community in general.
  • Contribute/participate in the implementation of special projects and office operations that support the strategic directions of the PI’s collaboration with Neuron to Brain Lab staff, students, and collaborators.
  • Support all other duties as directed by PI and assigned as part of the Admin I role.

Qualifications:

  • Completion of Grade XII or recognized equivalent.
  • Completion of a recognized post-secondary office administration program at the certificate level or equivalent.
  • Two (2) years related administrative support experience.
  • Previous on-the-job computer/word-processing, database and spreadsheet software experience required; experience in a Microsoft Office environment preferred.
  • Experience working in a health care environment an asset.
  • Good verbal and written communication skills.
  • Good organizational and time management skills.
  • Good interpersonal and customer service skills.
  • Ability to produce high quality work in accordance with Hospital standards.
  • Ability to work well under pressure.
  • Ability to use good judgment in assessing difficult situations.
  • Knowledge of general office practices, procedures and standards.
  • Knowledge of medical terminology an asset.
