The role of the Office/Culture Manager is critical to our productivity.   • As an Office/Culture Manager for Paul Davis Ottawa, you will oftentimes find yourself in the middle of many issues, both personal as well as professional that arise in our busy company. At times, it will feel that you are the lightning rod for many employee interactions, required to wear the hat of a guidance counselor, organizer, tutor/teacher, mentor, coach/referee, and on the rare occasion, ‘dictator’.
  • This role is one of the most critical for us because it has the potential to touch almost every aspect of our business. Based on the potential interactions, there will be much opportunity to determine the tone and culture of our organization in this position alone.
  • To be successful in this role, it will be necessary to hold a steady hand over your ‘domain’, align firmly with the executive management team, yet remain approachable to hear the ideas and suggestions of any one of our employees.
  • You will be called upon to demonstrate your knack for collecting information, building creative solutions, offering workable action plans, and adding additional components that build upon our awesome culture.
Success in this role requires that you:
  • Understand that this is a management position, and thus requires the Office/Culture Manager to take a company position on all matters related to employees & subcontractors. In this role there will be an opportunity to influence policy change, alter corporate behavior, and drive an executive decision should a situation require it.
  • Become a member of the Joint Health and Safety Committee.
  • Are proficient with a variety of software applications including the Microsoft Suite, Google, and the main social media apps.
  • Handle tasks related to office and inter-office communications, office space set up, human resource support, computer, and phone system set-up, working with IT companies to resolve internal issues, business operations, and administrative matters.
  • Establish a connection with our entire workforce and collect feedback – using the info to assess our culture/employee engagement. With that information, work within our Leadership Team to address current issues and avoid future risks.
  • Have basic knowledge of Human Resources staying on top of laws, regulations, safety, and/or industry stipulations, and being part of the recruiting, onboarding, and training of new employees.
  • Have it in your nature to stay focused on the big picture and understand that it is in ‘delivering extraordinary care’ to our workforce that our company will have the opportunity to grow our market share and extend our goodwill.

Responsibilities/Tasks Produce the Corporate Culture handbook and present it to existing employees/subcontractors and ensure it is used to introduce new employees/subcontractors into the Paul Davis Ottawa culture.
  • Ensure PD brand compliance (vehicles, clothing, written, email signatures, faxes, etc.)
  • Organize office operations and procedures.
  • Develop, maintain, distribute, and provide periodical updates of Employee Handbook.
  • Ensure personnel files for all employees are up to date and secure.
  • Ensure the office environment is cleaned on a regular basis.
  • Serve as point of contact for the property manager including maintenance, keys, janitorial, heat/air, and other building issues.
  • Follow up on maintenance agreements and contracts.
  • Coordinate distribution of policies, and programs and assist and advise company managers about culture and human resources issues/concerns.
  • Partner with the GM and Controller to communicate office policies, procedures, programs, and all applicable laws/regulations as they relate to employment.
  • Advise managers and supervisors about the steps in the progressive discipline system of the company. Counsel’s managers on employment issues.
  • Be willing to participate in additional professional training and/or certification programs.
