Reporting to the Associate Registrar, the incumbent is responsible for ensuring the effective and efficient, day to day operations for all credit for prior learning (CPL) functions and serves as a key lead for applicant communications and advising including all campuses, credit programs, part time, full time, international, domestic, and partnerships. The incumbent has a critical role in achieving the college’s strategic initiative towards an unrivaled student experience and enrolment plans and leads and supports the functional planning and continuous enhancement of department functions. Specific duties include, but are not limited to:
  • Creating and implementing an effective, personalized, collaborative, data-driven annual outreach/ communications plan that will facilitate the achievement of enrolment targets
  • Ensuring academic requirements for credit transfer and prior learning exemptions, and admissions where required, are communicated to students and relevant staff, evaluated and processed accurately and are measured against accredited curriculum, inter-provincial education, and other educational institutions outside of Canada, in compliance with the college’s and provincial policies
  • Reviewing and/or designing business processes and or evaluation methods that may be used to assess credit exemption and admission eligibility to accommodate new types of programs and or partnership agreements, and propelling such models through the college’s approval processes
  • Overseeing and ensuring all staff monitor their applicant/ student petitions to optimize conversion opportunities
  • Evaluating the ongoing conversion of applicants/students served, and all related partnership/program results and recommending strategies to achieve enrolment targets or enhance the unrivaled student experience
  • Contributing and supporting academic areas with the implementation and successful launch of new partnership articulations/ pathway agreements, new programs as it relates to CPL and applicant communication
  • Developing, analyzing and maintaining statistical data/reports for use for management decision-making
  • The incumbent is responsible for the systems utilized by applicants and staff in their portfolio
  • Ensuring the overall quality, accuracy, and timeliness of services, communication and guidance to applicants, admissions officers, and other applicant supporters
  • Overseeing and resolving escalated applicant communication/ advising issues/ appeals
  • Strategizing all outreach and conversion communication vehicles related to the application and admission of new applicants in collaboration with Admissions, and Marketing, Communications and Recruitment
  • Ensuring the provincial transfer database, CPLs transfer credit systems, and applicant communication and advising tools and systems are maintained, accurate, and supporting optimal student services
  • Representing the Office of the Registrar at functions, on committees and in meetings as required, and supporting the college’s Enrolment Plan
  • Representing Georgian on external committees, task forces and working groups such as the Committee of Registrars, Liaison and Admissions Officers (CRALO) and Ontario Council on Articulation and Transfer (ONCAT)
  • Researching issues, creating reports and presenting to college administrators with the possible courses of action related to upcoming issues or to making progressive changes in the practices and policies related to college admissions
  • Building collaborative relationships with program faculty/ coordinators, college partners, Associate Deans and Deans
  • Remaining current with legislation affecting college admission practices from bodies such as ONCAT, Immigration Canada (IRCC) and the Ministry of Colleges and University (MCU) and other relevant Ministries
  • Overseeing the recruiting, hiring, termination, training, disciplining, short- and long-term planning of the department
  • Ensuring the efficient and effective use of the operating and grant funding, including the creation and submission of grant proposals
  • Managing the department budget, identifying anticipated expenditures of a non-recurring nature and projecting costs associated with new initiatives
  • Supporting the college’s strategic, business, and academic plans by collaborating with academic areas, international centre, partnerships office, and ministry representatives in the development of pathways and articulation agreements, and any new and ongoing student mobility projects
  • Participating in the strategic planning and development and advises on the impact of policy changes to operational processes as they relate to the Office of the Registrar services
  • Participating in the development of policies and procedures to complement newly developed business processes as well as reviewing existing policies and amending where required
QUALIFICATIONS:
  • Successfully completed a three-year diploma/degree in Business Administration or another related field
  • A minimum of five years’ operational supervisory/management experience that includes the general oversight of staff, services, processes, and related systems
  • Demonstrated ability to manage staff in a multi-union environment
  • Demonstrated ability to effectively attract, hire, develop and supervise staff
  • Financial management experience including budget development and management
  • Excellent oral and written communication, conflict resolution, and problem-solving skills
  • Excellent interpersonal skills and a collaborative management style
  • High degree of proven professionalism, diplomacy and customer service skills
  • Leadership, organizational, time management and priority setting skills
  • Highly proficient in computer applications and databases, including Microsoft Office, customer relationship management tools, electronic case management and student or record information systems
  • Experience/knowledge in a post-secondary environment preferred, specifically in the Office of the Registrar admissions, transfer credit services, CRM communications or student advising would be an asset
