Job Summary
The Store Manager is responsible for managing the operations of the sales floor on the Vancouver campus and the overall merchandise management for all locations (UBCV and UBCO bookstores, Corner Store, Sauder Store and Beaty Museum Store) with the focus of providing excellent customer service to the UBC community. The position is responsible for providing strategic management and leadership of multiple core functions and systems including managing administration, financial operations, and administrative/financial functions of large complex systems. Responsibilities include directing the buying team in planning merchandise assortments in all categories including course materials, budgeting inventory levels, margins, expenses, and oversight of the sales floor and cash functions for the main store. The Store Manager develops and implements financial operations strategies to ensure a profitable return on investment. Provides guidance and leadership to the Bookstore team on operational processes and financial functions. The Store Manager monitors vendor relations and supports the buying team to identify new products and services that will augment the store’s selection and enhance revenues.
Working Conditions:
Works in an office environment within a retail store. Has their own office and computer. Must be able to work weekends and flexible hours. Must be able to stand for long periods of time while working on the retail sales floor. Some travel required for conferences and trade shows.
Organizational Status
Reports to the Associate Director. Champions the needs of the sales floor and procurement teams, while working with the other members of the Management Group to ensure the effective and efficient operation of the Bookstore.

Work Performed
Management Group
  • As a member of the Management team, works to support the overall management of the Bookstore business.
  • In the absence of the Director or Associate Director, may be assigned responsibility for the operation of the Bookstore.
Planning
  • Actively contributes to the strategic and long-term planning for the Bookstore.
  • Develops comprehensive policies, financial procedures, cost controls and systems to improve efficiencies. Develops and reviews key operational control.
  • Participates in tactical planning, and in budget preparation, collecting, analyzing and interpreting market intelligence.
  • Establishes budgets and/or targets for sales, margins, inventory levels, merchandise assortment, and staffing in defined areas of direct responsibility to meet financial goals.
  • Oversees the acquisition of course materials for UBC Vancouver and UBC Okanagan campuses and manages inventory levels within budget, limiting losses where possible.
Merchandise Management
  • Oversees the merchandise selection within the Bookstore to achieve budgeted return on investment.
  • Oversees preparation of reporting, forecasts, cost analysis, performance measures, and statistics reports.
  • Annually establishes the sales, gross margin, inventory and expense budget for the merchandise division. Monitors this budget regularly and makes appropriate changes, as necessary, to ensure profitability within each department using the ‘open to buy’ system.
  • Manages inventory levels to ensure appropriate balance per department, acceptable stockturns and the recognition and disposal of obsolescent inventory.
  • Negotiates and establishes appropriate terms and conditions with vendors on behalf of the buying team.
  • Working with the buyers, develops integrated marketing goals and plans for the merchandise division, which recognize the strengths of the “brick and mortar store/s” and the on-line store.
  • Researches changes in the retail marketplace to seek opportunities for new product lines, sales concepts or operating methods.
Systems Management
  • Works within the Bookware application, making recommendations on enhancements and/or modifications to the Bookstore applications group.
External Relations
  • Participates in developing and maintaining high standards of customer service.
  • Uses individual judgment in reviewing customer correspondence, comments and complaints and taking appropriate action to enhance customer service.
  • Establishes, monitors, maintains and enhances professional working relationships with the store’s vendors and professional organizations.
  • Manages the Bookstore’s sales team. Sets sales targets for the teams and reviews their productivity.
  • Manages campus relationships by maintaining and developing strong connections with faculty and departmental administrators.
  • Creates, develops, and manages programs and projects that promote the Bookstore's services and enhance its reputation and acceptance in the community.
Retail Floor Management
  • Provides leadership and run the retail floor on a day to day basis.
  • The Manager establishes the staff schedules for the store based on work requirements. The manager is also responsible hiring and training employees. The manager is expected to identify staff training needs and establish plans to provide training to all staff members.
  • Responsible for the overall merchandising of the bookstore. This includes overseeing the merchandise presentation, stock rotation and cleanliness of the store.
  • Oversees operation of the store’s POS system and the setup of rush cash registers. Liaises with Bookstore’s IT department to resolve any unusual issues.
  • Enables collaboration with the Marketing and Buying teams to ensure that the displays reflect and promote new product launches and seasonal themes.
  • Coordinates execution of marketing strategy as it applies to the sales floor to ensure the successful promotion of products, programs and events.
  • Seeks opportunities to increase value and reduce costs on a continuous basis.
  • Manage and assign team projects for visual merchandising and present design ideas to floor staff.
  • Manages and ensures proper safety standards in the stockrooms and on the sales floor, particularly when lifting and moving heavy items.
  • Translates the strategy of the flow of goods into actionable plans, ensuring the overall intention is understood and that outcomes are achieved.
Productivity
  • Establishes goals for the sales floor and merchandise divisions and monitors work output to achieve these goals, acts when necessary to maintain or improve productivity.
  • Assigns goals and responsibilities of the Merchandise Division Supervisors, giving guidance where necessary on complex or contentious issues.
  • Responsible for the hiring and promotion decisions within the Merchandise Division, in consultation with the Merchandise Division Supervisors.
  • Resolves personnel problems in area of jurisdiction.
  • Ensures that established policy and procedures are followed: audits procedures to determine and recommend redesign and/or development on an ongoing basis.
  • Performs other related duties as required.

Consequence of Error/Judgement
Decisions made regarding merchandise selection, margins and inventory significantly affect the financial viability of the Bookstore. The Store Manager must set appropriate purchasing guidelines to ensure that the store’s buyers use appropriate purchasing practices and ethical guidelines. Failure to set appropriate practices could result in legal or ethical conflicts of interest or unfair purchasing practices. The Store Manager sets the tone for the operation of the division therefore decisions made regarding personnel will affect the morale within the division.

Supervision Received
Works at an executive level within the Bookstore. Work is reviewed in terms of operational profitability.

Supervision Given
  • Responsible for the overall management of the sales floor and merchandise divisions. Has the authority to hire, train, evaluate, discipline and terminate staff as required.
  • Assigns goals and responsibilities of the relevant supervisors and staff, giving guidance where necessary on complex or contentious issues.
  • Deploys staff resources to ensure that adequate coverage is maintained at all times, and to ensure productive interdepartmental cooperation.
  • Reviews work to ensure that tasks are completed within established time frames.
  • Holds regular meetings with staff to continuously review the operations and performance of the relevant functional areas.
  • Resolves personnel issues in the merchandise division.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of seven years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
Experience
  • A minimum of 10 years of experience in a high-volume retail business preferred.
  • Proven experience overseeing the procurement of diverse product lines including inventory control, margin management, selection and marketing.
  • Proven ability to achieve financial targets.
  • Proven experience in human resources management, preferably in a unionized environment.
Skills
