Student Finance Clerk

(Contract May - August)

Under the direction of the Supervisor, the Student Finance Clerk accurately and correctly processes and records the agency’s business transactions through the accounting system according to established procedures. He/she assists and supports the preparation of financial and operating statements, including specialized reports.

Main Duties and Responsibilities:

  • Analyzes, reconciles, audits, balances and maintains accounting records.
  • Processes daily electronic and physical mail.
  • Accurately prepares, records and processes accounting transactions.
  • Performs various analysis and reconciliations of accounts and ledgers.
  • Assists with audits (internal and external) and prepares audit working papers.
  • Ensures transactions are completed in a timely manner.
  • Exercises appropriate communication
  • Ensures allocation to accounts is accurate.
  • Completes various banking activities, reports and reconciliations.
  • Ensures all accounting documents are appropriately handled and conform to the Society’s standards with regard to required authorizations, accuracy, completeness and maintenance of supporting documentation.
  • Investigates, follows-up, reports and participates in developing solutions for discrepancies or other accounting and control matters.
  • Keeps Supervisor apprised of all matters of concern.
  • Reports workplace accidents/injuries in accordance with agency policies and procedures and ensures the supervisor is advised of any hazards he/she becomes aware of
  • Exercises appropriate personal and professional behaviour
  • Adheres to professional and ethical standards and abides by applicable legislation, policies and procedures.
  • Works in compliance with OH&SA, utilizing protective equipment as necessary, and attends mandatory training as required.
  • Actively upholds the principles identified in the Society’s Code of Ethics
  • Performs other related duties as assigned.

Qualifications/Efforts and Working Conditions

  • Enrolled in a Community College Diploma in Accounting.
  • Experience using computerized data accounting systems is an asset.
  • Valid G Driver’s License and access to a reliable motor vehicle with appropriate liability insurance required. Personal integrity and responsibility and a commitment to the goals of Children Welfare and
  • Knowledge of and the ability to comply with Generally Accepted Accounting Principles.
  • The ability to follow detailed instructions and carry out responsibilities with a minimum of supervision.
  • Strong listening, communication and analytical skills.
  • Strong initiative and attention to detail.
  • Familiarization with using a computerized accounting system.
  • Working knowledge of standard office equipment (fax machines, photocopiers, printers, etc.)
  • Demonstrated computer literacy (MS Office suite – Excel & Word)
  • The ability to multi-task, function independently and as part of a team

Efforts and Working Conditions:

  • Work is primarily performed at a desk in a normal office environment.
  • Intermediate periods of sitting and computer/phone use.
  • The incumbent has the freedom to move about or change position at will.
  • Multi-tasks within a high-volume and demanding environment.
  • Frequent periods of review and analysis and proofing of documentation required.
  • Frequent interruptions.
  • Occasional travel to FACS sites or within the region.
  • Occasional lifting of boxes up to 10lbs.
