Job description

Chester Basin Animal Hospital is recruiting a Client Services Representative (CSR) to join our team. We are seeking a highly professional, yet personable individual to help us deliver high quality care pets and their families.

As the the first point of contact for the hospital, the Client Services Representative sets the tone as we build and maintain each client's trust and confidence in our abilities. The primary responsibility of the CSR is to ensure our clients feel welcomed and expertly cared for. Additional responsibilities required for this role are:

  • Professionally greeting patients and pet parents as soon as they walk in the door; immediately creating a warm and welcoming environment for them.
  • Guiding clients and their pets into examination rooms
  • Answering a multi line phone system and directing calls appropriately.
  • Scheduling and confirming appointments
  • Placing outbound calls for follow-up and future appointment bookings
  • Responding to and managing email communications
  • Presenting and explaining fees to clients
  • Processing payments
  • Answering questions regarding products and services, including educating clients on general animal husbandry and non-medical pet care (i.e. flea & tick control, diets, etc)
  • Managing medical records, charts, reports and correspondence
  • General housekeeping duties; ensuring cleanliness of reception area and common areas both inside and outside the hospital
  • Assisting the veterinary doctors and technicians where needed.

The ideal candidate will have

  • Experience in front desk or reception capacity - previous medical office experience (especially in the veterinary field) an asset
  • Excellent customer service skills; a real aptitude for putting people at ease and creating a welcoming environment
  • Ability to work in a fast paced environment
  • Strong organizational skills related to filing, invoicing, processing payments and general office tasks
  • Ability to multi-task
  • Willingness to learn more regarding veterinary services, updated medical office procedures and assisting the veterinary team with various tasks and treatments
