Position Overview
Prepare bank reconciliations for all bank accounts allowing the County to track its finances and uncover any issues that may exist. Prepare numerous monthly accounts receivable invoices and journal entries for the County and other external entities.
Duties and Responsibilities

Bank Reconciliations:
  • Confirm all cash receipts have been entered in financial system by use of daily bank reports and cash receipt reports
  • Update Excel spreadsheet with running list of “un-cashed cheques” and “cashed ahead cheques”
  • Daily upload of cleared A/P cheques to financial system
  • Download daily bank information via internet. Follow up on returned direct bank deposits
  • Record direct bank deposits from bank statement daily
  • Produce monthly bank reconciliation statements
Bank Liaison:
  • Handle errors on bank statements and resolve issues with banking institutions/vendors
  • Issue stop payments, bank transfers and wire payments via internet and fax machine
  • Provide copies of cancelled cheques to other personnel/vendors as required
Journal Vouchers:
  • Produce spreadsheet to complete monthly social service expenditure journal entry
  • Record cash receipts for Court Services, Sarnia-Lambton Economic Partnership, Lambton Group Police Services Board and Tourism Sarnia-Lambton
  • Prepare journal entries for provincial subsidies based on electronic fund transfers
  • Prepare journal entries to correct general ledger coding errors, charge out postage and bank fees, and others as required
Accounts Receivable Invoicing:
  • Prepare quarterly levy invoices to lower tier municipalities
  • Prepare monthly invoices on behalf of external entities that the County provides accounting services
  • Prepare debenture invoices for external entities as required
  • Prepare additional invoices as requested
Accounts Payable:
  • Prepare and enter automatic debit payments into financial system for bank loans
  • Prepare and enter accounts payable grant vouchers in financial system
Trust and Reserve Funds:
  • Forward copies of bank statements as required
  • Post monthly journal entries for interest earned
  • Prepare cheques from trust and reserve bank accounts for year-end issues
  • Maintain individual files for trust and reserve accounts
General:
  • Monitor and distribute online notices received for electronic Accounts Payable invoices and direct bank deposits
  • Incumbents must keep up-to-date on all relevant legislation, collective bargaining agreements, County Policies and Procedures, etc. ensuring that these are implemented as prescribed
  • Incumbents must possess the physical ability to meet the duties and responsibilities of the job description and/or the requirements identified within the position's Physical Demands Analysis
