We are currently hiring for the position of:


ADMINISTRATIVE & CONTRACT COORDINATOR, PARTNERSHIPS


As the Administrative and Contract Coordinator responsible for supporting the Partnerships Team in all administrative aspects, you will report to the Coordinator, Executive & Partnerships. As the Administrative and Contract Coordinator, you will support the team through development, management, execution and maintenance of administrative systems, processes and tasks. You will drive contracting from end-to-end with partners, vendors and other key stakeholders, ensuring accuracy, tracking of benefits and compliance. Serving as a primary liaison between departments you will support the team in their work with Finance, HR, Legal and IT. Your primary mandate will be to drive excellent departmental organization and ensure the on-time, on-scope and on-budget delivery of all accounts, projects and initiatives alongside a team of coordinators.


RESPONSIBILITIES:
  • Implements administrative systems to ensure administration operates efficiently.
  • Maintains continuity of work operations by communicating needed actions to management, discovering irregularities, and determining needs.
  • Takes advantage of administrative visibility to anticipate the needs of the team.
  • Guides team by researching and developing administrative policies, procedures, methods, and guidelines, and communicating needed developments to management.
  • Takes initiative to develop a strong contact list across the organization to maximize interdepartmental alignment.
  • Stays up to date about company events, resources and roles.
  • Oversees expenses necessary to the day-to-day administrative operations.
  • Assists in preparation of reports and presentations and aids in the budgeting process.
  • Manages all contracts across the department, and supports in the drafting, development, trafficking and signoff stages.
  • Takes advantage of contracting visibility to anticipate opportunities, patterns, irregularities across all contracts.
  • Supports department in administration of Asset Dashboard including tracking of benefits/obligations.
  • Builds and updates central databases.
  • Manages the Corporate Partnerships Team G-Drive and Data Repositories.
  • Manages invoices, CRM updates and administrations.
  • Reconciles expenses and budgets with the senior leadership team.
  • Builds weekly and monthly team dashboards and reports.
  • Tracks key departmental metrics on a weekly basis.
  • Liaises with relevant departments as it pertains to Partnerships processes and procedures.
  • Other related duties as assigned


JOB GRADE & SALARY OR RATE OF PAY:
  • Job Grade 2
  • $50,000-$65,000/Annually

MINIMUM REQUIREMENTS:
  • Minimum college diploma or university degree in a related field.
  • Minimum 2 years experience in the area of administration and coordinating.
  • Background in contract drafting is an asset.
  • Experience as a coordinator is an asset.
  • Experience in partnerships and/or marketing is an asset.
  • Well developed verbal and written communication skills.
  • Strong project and people management skills.
  • Sound judgment, tact and discretion.
  • Excellent administrative and organizational skills; ability to prioritize and manage concurrent duties.
  • Professional manner and “can-do” attitude. Ability to both take direction and show initiative.
  • Ability to both work independently and in a team environment.
  • Excellent attention to detail, budgets, timelines, and objectives.
  • Experience in Microsoft Office, Google Products and database software is an asset.
  • Creativity to develop innovative solutions; knowledge of partnerships within the cultural sector.
  • Understanding and commitment to superior client servicing.
  • Well developed interpersonal skills
  • Ability to work and respond well in fast-paced and high pressure environments.
  • Adaptable to a flexible work schedule including some evenings and weekends as needed.
