Administrative Assistant

Part-time, Hour expectation 20-25 hours/week required and contract is a 12-month term with the possibility for renewal

Dance Manitoba’s mission is to promote the education and appreciation of the art of dance in
Manitoba. We encourage each dancer, teacher, and audience member to continue learning and engaging in the art of dance in Manitoba. We want to nurture the appreciation of the art form with workshops, performance opportunities and through the dissemination of information across the province.

The Administrative Assistant role will work closely with Dance Manitoba’s Executive Director to support the operations of the organization. Success in this position requires attention to detail, effective organization skills, exceptional communication skills, as well as the ability to work both autonomously and as an active team member. Having a flair for creativity and ingenuity is an asset.

Responsibilities and Skills Required

Relationships

  • This role will be a point of contact for Members, the dance community, as well as the Dance Manitoba Executive Board, alongside the Executive Director
  • Monitor and track new memberships, assist with renewals, and maintain Member database
  • Exceptional customer service is required
  • Clear, timely, and accurate communication is required

Event Planning

  • Coordinate special events and workshops alongside the Executive Director and Board

Committee involvement

  • Coordinate any travel and accommodations necessary for events, workshops, and Dance

Manitoba outreach activities

  • Exceptional organization required
  • Detail oriented and effective multi-tasking abilities

Administration

  • Prepare and submit expense reports, budgets, and a project allocation form (PAF) as required
  • Must become familiar with, and maintain knowledge of, the Dance Manitoba bylaws
  • Required to attend monthly Board meetings (either in-person or via Zoom)

Media and Communications

  • Assist in Dance Manitoba’s social media planning, content creation, scheduling, and posting, alongside the Executive Director and the Board
  • Manage social media metrics from Dance Manitoba’s Instagram and Facebook accounts and provide reports
  • Assist in website maintenance, alongside the Executive Director and the Board
  • Monitor communications from website and social media accounts; assist in correspondence with direction from Executive Director

Qualifications and Specifications Required

  • Education requirement: high school and or a portion of post-secondary
  • 2 years of administration and customer service experience is recommended.
  • Experience with managing company social media accounts and websites is an asset
  • Proficient working in Microsoft Office Suite
  • Criminal record check and child abuse registry required.

The majority of time employee will work from home, although some on site events will be required. Occasionally, some travel within the province of Manitoba is required. Employee will need access to a computer and phone. Most communications will be via email, phone, and occasional in person meetings. Hours are negotiable depending on events and coordination with the Executive Director. After hours work may be required for special events and shows in the evenings or on weekends.
