The Opportunity:
The Airdrie Fire Department (AFD) strives to deliver services that focus on public education, prevention and the provision of high quality, timely fire services and medical co-response to enhance the safety and quality of life of our community.

Reporting to the Deputy Chief of Operations and Training, the Administrative Assistant will perform a variety of administrative duties in support of the Operations and Training Branch. The Administrative Assistant will act as the point of contact and ensure the efficient and smooth day-to-day operations of this Branch.

Primary accountabilities include:

  • Assist and support employees with incident reporting software including the review of FDM entries to ensure incident files are closed in a timely manner
  • Assist and support employees with the development of fire/medical training materials including researching best practices, gathering corresponding documents, editing, formatting and packaging the materials for final review
  • Receive, record and respond to public inquiries/complaints by phone, email or in person
  • Assist in the Airdrie Fire Department recruitment process including liaising with recruits, preparing learning materials, scheduling internal interviews and ensuring a smooth and efficient internal recruitment process
  • Collaborate with internal stakeholders and associated vendors to ensure required goods and services are managed appropriately (i.e., annual uniform ordering, medical assessment scheduling, etc.)
  • Assist and support Corporate Communications in updating the Airdrie Fire Department section on the corporate website including the research, review and posting of relevant content while ensuring accuracy and up-to-date information
  • Assist in scheduling meetings and recording detailed meeting minutes
  • Perform other administrative duties as assigned including assist and prepare reports, update and maintain AFD policies and procedures, order office supplies, book travel arrangements, submit and reconcile expense reports

You Bring:

  • High School Diploma or GED
  • Post-secondary education in the administrative field is preferred
  • Certificate in Office Administration would be an asset
  • Two (2) to three (3) years of administrative assistance experience
  • Experience in municipal government would be an asset
  • Proficient with SharePoint and Microsoft Office suite programs would be an asset
  • Ability to perform tasks autonomously
  • Ability and willingness to support the team
  • Demonstrates maturity, punctuality and a sense of responsibility
  • Strong attention to detail and maintain a functioning workspace
  • Ability to multi-task in an ever-changing environment
  • Effective communication skills with the ability to create a positive work environment
  • Strong written communication skills with competence to capture and share minutes, memos and emails
  • Excellent verbal communication skills when interacting with both internal and external stakeholders
  • Strong computer skills including a thorough understanding of computer software, browsers and operating systems
  • Ability to troubleshoot unexpected problems

Additional Information:
