This role is critical administrative support to the Office of the Executive Director & Registrar of the Alberta Court of Appeal (ED). The Executive Director is the chief administration officer of the Court accountable directly to the Chief Justice of Alberta and accountable for supporting the development of the strategic plan and delivering on all court operations priorities that include court modernization and workforce engagement.

The Admin Assistant to Executive Director, as the administrative representative of the Office of the Executive Director, receives and processes highly confidential and sensitive information and acts as a resource to other administrative support staff within the Court.

The job duties include (but not limited to):

  • Information retrieval and research: Researching and composing correspondence for the Executive Director and researching and preparing background material for executive meetings.
  • Schedule coordination: actively managing the commitments and schedule of the ED and coordinating court administration committee meetings
  • Task Management: Monitoring, tracking, and negotiating timelines for ED and management team related matters
  • Records and Information Management: managing the creation and storage of reports, files and official records.
  • Front Line inquiries: Responding directly to day-to-day administrative inquiries on behalf of the ED.
  • Ambassador: for the ED and their office, ensuring effective stakeholder management and relations as required.
  • Contributor: actively participate in business process improvement initiatives related to the effective operations of the management team
  • Special Projects: the position may also carry out administrative special projects.


You will handle highly confidential and sensitive information and demonstrate excellent interpersonal and oral and written communication skills. You will provide support in a highly professional manner with a high degree of autonomy, diplomacy, and confidentiality.

You will respond effectively and knowledgeably to emerging issues and takes appropriate, and often independent action, within appropriate guidelines. Sound judgement is used in making decisions, applying policies, procedures, and established practices. Where issues are not clearly defined, you are responsible to draw on experience and/or implements innovative solutions appropriate to the situation.

You are an ambassador for the ED exhibiting strong interpersonal relationship and problem-solving skills when dealing with internal and external stakeholders.

Qualifications

Requirements:

  • High School Diploma
  • Three years progressively responsible related experience in supporting senior manager and executives.


Equivalency: Directly related education or experience considered on the basis of:

  • One year of education for one year of experience; or
  • One year of experience for one year of education.


Assets include experience with:

  • Strong written and verbal communication skills applied in drafting/composing varied correspondence.
  • Demonstrated ability to manage complex and ever-changing schedules and deadlines
  • Strong relationship-building and conflict resolution skills.
  • Exceptional proficiency in Microsoft Office systems, task management systems and advanced knowledge in outlook.
  • Strong organizational and priority-setting skills, ability to manage multiple issues at any given time.
  • Information research, analysis, and evaluation skills.
  • Diploma or degree in public administration or related field.

Salary

$1,884.99 to $2,307.87 biweekly ($49,198 - $60,235/year)

Notes

This position works Monday to Friday, 8:15AM – 4:30PM, 36.25 hours a week.
