Position: Administrative/Medical Office Assistant (1 position - full time, permanent)

Pay: $25.94 per hour, 37.5 hours per week

Organization Overview

The Peterborough 360 Degree Nurse Practitioner – Led Clinic (NPLC) is a dynamic community-based interdisciplinary primary health care clinic providing comprehensive primary health care services to individuals and families residing in Peterborough City and County who are unattached to other primary care providers.

The NPLC is committed to providing access to innovative, integrated primary health care services and programs delivered collaboratively with a focus on healthy equity and patient centeredness. Located in the downtown core of Peterborough, we have expertise providing care to people whose health is made vulnerable by poverty, homelessness, and poor access to the social determinants of health. Job Summary

Working within the interdisciplinary team, the Administrative/Medical Office Assistant will work closely with the Lead Administrator and NP Lead/Clinic Director. The AA/MOA will support the administrative flow of the office to ensure efficiency in day-to-day operations including IT/facilities/equipment management, scheduling, communications, and bookkeeping, and will support the primary care providers at the NPLC in the provision of primary health care, health promotion and disease prevention care.

Responsibilities

  • Performs administrative and clerical duties to support the clinic team and programs
  • Greets and checks in patients/clients and visitors to the clinic
  • Responds to inquiries in person and on the phone in a friendly and helpful manner, providing detailed and accurate knowledge of the NPLC’s programs and services
  • Schedules patient appointments within the NPLC and external to to the clinic
  • Assists clients when accessing clinic services (e.g. shower, laundry)
  • Monitors clinic mail/email/voicemail
  • Manages incoming and outgoing faxes, referrals and prescriptions
  • Scans patient reports and other documents into the EMR
  • Performs financial/bookkeeping tasks as directed by the Lead Administrator
  • Performs human resources and payroll tasks as directed by the Lead Administrator
  • Purchases equipment/supplies and manages inventory
  • Assists with staff and student training on all office systems including electronic medical records (EMR), record keeping, computer networks, telephones, etc.
  • Organizes meetings, manages tech needs, and takes minutes
  • Updates website and social media
  • Assists with IT management and troubleshooting
  • Assists in the development and production of forms, documents, internal communications and public relations materials
  • Maintains space booking system
  • Adheres to Infection, Protection and Control guidelines while maintaining a clean and hazard-free environment
  • Performs other relevant duties as required

Qualifications

  • At least 5 years’ experience serving the public in a front-line capacity, preferably in a health/mental health care setting
  • At least 5 years’ administrative experience in a multi-faceted office environment
  • College diploma or certificate in related field required, preferably in Office Administration or Medical Office Administration
  • Strong information technology skills with proficiency using Windows, Microsoft Office (Outlook email/calendar, Word, Excel, and PowerPoint)
  • Ability to accommodate multiple demands and to prioritize work
  • Excellent customer service and interpersonal skills, and high skill level interacting with individuals who face multiple challenges gaining access to services including those who have experienced trauma
  • High skill level and experience with crisis de-escalation and intervention
  • Excellent written and verbal communication skills
  • Highly organized with high attention to detail
  • Ability to maintain confidentiality of personal health information
  • Experience working with an electronic medical record (EMR) an asset
  • Experience using bookkeeping software an asset
  • Demonstrated ability to work independently and in a team environment
