Your Opportunity:

Reporting to Clinical Section Chief/Division Head - Hematopathology. The Administrative Support IV will provide advanced, specialized assistant and secretarial support, maintain, and update the Hematology Regional On-Call Application as well as create and update the Hematology on-call rota. The Administrative Support IV will be responsible for managing Executive-Level (C-Suite) calendars, coordinating meetings, preparing meeting materials, taking minutes, tracking action items, scheduling appointments, special events and retreats, making travel arrangements, and required administrative follow up. Also record keeping, establishing, and maintaining filing systems and databases, researching, and summarizing information and materials for reports, provides expertise of organizational policies, procedures and departmental issues, and relevant correspondence. Duties also include information management, tracking professional development and vacation requests. The Executive Assistant will require advanced administrative or specialized skills and knowledge to support complex procedures, practices, and initiatives within the department, and will also assist with other related clerical tasks including coverage as required. You are expected to be able to work independently to manage functions of the job requirements, effective time management, and demonstrate initiative to learn new processes. Other related duties as assigned. This position is located at the McCaig Tower of the Foothills Medical Center and requires coverage on site coverage Monday to Friday.

Required Qualifications:

Completion of post-secondary education (e.g. course(s) in office of business administration, medical office assistant).

Additional Required Qualifications:

Completion of post-secondary education relating to an Administrative Assistant Role (e.g., Course(s)) in office of business administration, medical office assistant. Minimum of 3 years of experience in Administrative Assistant Role.

Preferred Qualifications:

Experience in a healthcare / laboratory / hospital environment. Excellent knowledge of Microsoft Office suite. Experience/knowledge of SharePoint an asset.
