We’re hiring a part-time, contract Executive Assistant who can help us to help manage a variety of day-to-day tasks which will help the whole team focus on our mission as a company. That mission is to help online business owners who want more sales, more time and more freedom to choose what, when and how they work using our content strategies and systems—all so they can make a greater impact in the world with their own missions. We help them do this with

  • our programs, planner, systems kits and templates on the content education side of the business; and
  • our done-for-you sales funnel and content packages through the agency side of business.

Responsibilities:

  • Customer service - monitoring inbox, responding to emails, troubleshooting customer issues, building out response guidelines and email templates
  • Calendar and meeting management - scheduling meetings, attending calls with CEO, taking notes, and determining action items from call, processing meeting recordings, proofing the calendar weekly (verifying appointments, verify time, checking links,etc.)
  • Project management - helping plan events, building out action plans in Asana, updating project statuses and progress, preparing assignment briefings
  • Data entry - Entering content, formatting text and emails according to brand guidelines, creating submission forms
  • Documentation - Help create processes, documenting CEO preferences
  • Miscellaneous admin tasks - Researching/fact-checking, booking travel, scheduling appointments, ordering gifts/flowers, reviewing CEO time studies, suggesting efficiencies, and identifying items to take over from CEO

Requirements:

  • Availability at 3-4 days per week, during regular business hours (PST timezone)
  • At least two years of experience as an executive assistant or in admin
  • High-level communication skills
  • Highly organized and efficient
  • Detail-oriented
  • Computer proficiency and experience with the Google Suite (Gmail, Docs, Sheets, Calendar, Forms)
  • You’re a problem solver and think ahead to ensure any challenges don’t greatly impact project progress or outcomes
  • A quiet home work environment, including: A computer, cell phone and high-speed internet

Details:

  • 8-10 hours per week on average to start (with room for future growth)
  • No weekends or evenings
  • $28-$30/hour; depending on experience
