Job Description

What is the opportunity?

The Executive Assistant will play a critical role by providing direct support to the Vice President, Portfolio Management and Credit Strategies and Vice President, CB Retail & RBCx (RBC Ventures) – Policy, Process & Strategy.

What will you do?

  • Provide proactive daily support to the VPs, through actively managing calendars, scheduling meetings, collecting information and preparing materials in advance of meetings while maintaining a high degree of confidentiality and accuracy within a fast-paced, deadline driven environment.
  • Provide lead support in the planning and development of internal and external meetings/Town Halls/conferences/events, and key initiatives such as roundtable sessions and monthly/weekly team meetings.
  • Coordinate all aspects of logistical organization of events, develop agendas, materials and routines, including action items and follow-ups. Provide post-event support as needed.
  • Use problem-solving skills to assist as the primary liaison for senior leadership, with senior internal and external stakeholders.
  • Proactively manage travel arrangements/itinerary for senior leadership, and teams, ensuring seamless travel and efficient use of budgeting and resources.
  • Provide operational support to the team which may include but is not limited to coordinating new hires, maintaining organization structure, support initiatives around improving employee experiences such as participating in various employee care committees, support annual FTE process, managing technical and equipment needs and raising issues to HR while ensuring adherence to IT and team policies.

What do you need to succeed?

Must-have:

  • 3+ years of Executive or Administrative support experience supporting multiple senior leaders.
  • Superior organizational skills, specifically around calendar management, scheduling, ability to organize, plan, and schedule activities.
  • Strong interpersonal relationship skills in working effectively with various levels of staff, including senior management and executives; ability to work as a team member.
  • Sound judgement in decision making, strong problem-solving and analytical skills, resourceful in working with others and representing the office of senior executives.
  • Anticipate the needs of the VPs and flag questions or opportunities before issues arise.
  • Demonstrate initiative, a positive and helpful attitude when dealing with others in a professional manner.
  • High proficiency in MS Office (Word, PowerPoint, Excel, Outlook), navigational skills (intranet, internet) and research skills.
