Job Description:

We are hiring a full-time legal assistant. The person hired for this position will be primarily responsible for client care and relationship management, as well as the back-end operations of the law practice. While the position could evolve and grow over time to include more responsibility and marketing activities, initial responsibilities include:

  • Editing and processing monthly invoices and payment from clients, and following up on past due accounts
  • Preparing legal documents for court filing and filing documents through OneKey
  • Drafting correspondence and agreements
  • Following up on correspondence with clients, opposing counsel and others
  • Reception duties, including welcoming clients and answering phones
  • Screening and intaking potential clients including cold calls, gathering basic information, liaising with lawyers, and preparing retainer agreements
  • Preparing room and materials for mediations and meetings
  • Preparing and filing Simple Applications for Divorce
  • Completing NFP Statements and Financial Statements, gathering and organizing financial disclosure, and communicating with clients regarding disclosure
  • Completing administrative duties such as making copies, organizing files, and managing office supplies
  • Financial tasks including reconciling accounts, tracking expenses, and preparing cheques
  • As-needed projects including organizing office events and charitable projects

Qualifications:

  • College diploma from a Law Clerk or related program
  • Minimum 2 years’ experience as a law clerk or legal assistant with at least some family law experience
  • Intermediate to advanced skills in Microsoft Office Suite, Divorcemate, OneKey, CaseLines, and Dropbox
  • Experience with Clio practice management software is an asset
  • Must be comfortable with technology and working in a primarily paperless law firm environment
