SHARP Workplaces Legal Clinic (Sexual Harassment Advice, Response and Prevention for Workplaces)

PURPOSE OF POSITION:

This is a full-time fixed-term position until February 2024. The role of the Legal Administrative Assistant and Outreach Coordinator position has three major areas of responsibility:

1. To work collaboratively to provide assistance to the lawyers of the Clinic and administrative support to the Clinic;

2. To assist in the coordination and implementation of a province-wide outreach plan;
3. To assist in the coordination of educational outreach presentations and preparation of educational materials for SHARP Workplaces Legal Clinic.

SHARP Workplaces Legal Advice Clinic provides free legal advice to anyone who has experienced workplace sexual harassment in BC. It is operated by the Community Legal Assistance Society (CLAS),a non-profit legal aid organization providing legal assistance to disadvantaged people since 1971 in British
Columbia.

RESPONSIBILITIES:

Legal Administrative Assistant Duties

  • Open, close, organize and administer client files;
  • Draft and otherwise handle routine correspondence and documentation for the client files;
  • Attend team meetings as required;
  • Schedule appointments for lawyers;
  • Liaise with clients with respect to routine matters;
  • Assist with obtaining all relevant documents from the parties if required;
  • Assist with preparation forms, applications, document lists, timelines, and other documents for legal processes (e.g. Human Rights Tribunal);
  • Arrange travel and prepare expense claims of lawyers;
  • Assist with maintaining and updating referral services lists and support lawyers in identifying relevant referral services for clients;
  • Assist with maintaining the ad hoc lawyers’ lists;
  • Liaise with ad hoc lawyers to provide support with file management, assist with use of case management system, preparing case update reports, invoicing and other appropriate support;
  • Arrange interpreters for client meetings as required;
  • Maintain a limitation and bring forward system and ensure that lawyers are aware of all approaching limitation dates in a timely manner;
  • Maintain the appointments and team schedule in the Outlook and case management system calendars;
  • Ensure client and case data is entered in the case management system in an accurate and timely manner;
  • Such other duties as may be required in the provision of legal support to the Clinic.

Outreach & Communications

  • Assist in the coordination and implementation of a province-wide outreach plan;
  • Conduct outreach to promote the Clinic and liaise and develop relationships with community partners;
  • Assist in creating and implementing a social media strategy, draft social media posts and other digital content;
  • Design digital promotional and outreach materials, and manage distribution of digital and physical promotional materials;
  • Responsible for updating website content and developing website pages as needed;
  • Maintain data on outreach and communication activities for analysis and reporting.

Education and Training

  • Assist in the development and delivery of educational outreach sessions;
  • Assist in the development and design of educational and training materials;
  • Assist in scheduling educational outreach activities and training workshops;
  • Prepare and handle correspondence and documentation for educational and training activities;
  • Assist in reviewing, organizing and preparing materials for education sessions and workshops;
  • Maintain and organize electronic library of resources for program.

General Administrative and Other Duties

  • Maintain Administrative Manual;
  • Provide coverage for intake;
  • Provide reception coverage as the need arises;
  • Provide legal administrative assistance to other CLAS programs as assigned;
  • Carry out general office and administrative duties, as assigned by CLAS Management.

QUALIFICATIONS AND REQUIREMENTS:

  • Must be a Canadian citizen or permanent resident;
  • Legal Administrative Assistant certificate with at least one years’ experience and familiarity with legal documents and procedures, or other equivalent experience;
  • Experience in developing social media content, website maintenance and content creation;
  • Good working knowledge of Microsoft Word, Outlook, PowerPoint, Excel and Access database, experience with case management systems is an asset;
  • Excellent writing, editing and verbal communication skills;
  • Ability to carry out legal administrative assistant duties, both independently and in a team;
  • Ability to multi-task, maintain a bring forward system, and manage calendars;
  • Strong attention to detail with an ability to produce quality work under tight timeline;
  • Strong organizational skills with an ability to prioritize tasks;
  • Ability to deal with a diverse client base in a friendly, patient, compassionate and professional manner;
  • Basic understanding and commitment to human rights issues.

COMPENSATION:

CLAS offers an excellent benefits package which include Municipal Pension Plan, medical, dental, and extended health benefits, paid vacation and sick times, bonus time off in the holiday season and a flexible, hybrid remote and in- office working model. Salary range is approximately between $48,287 and $51,260 depending on experience and final apportionment of duties.

START DATE:

The preferred start date is the first week of January of 2023.
