The opportunity:

Reporting to the Department Head, the position facilitates and executes most administrative activities of the Department. The position establishes and maintains priorities and workflow as it relates to the administrative functions of the Department. The Department Office Administrator provides direct support and advice to the Department Head on administrative matters while providing support to all customers, including academic staff, instructors, Faculty members, and students, as needed.

The position serves as an information conduit for administrative matters for the department, ensuring incoming information is filtered and shared as appropriate and outgoing information is liaised to the right people in the right medium. The position navigates and utilizes a number of university portals and systems, maintaining a strong depth of knowledge in each.

The qualifications and experience we’re looking for:

  • Completion of a formal education program from a recognized institute in a related discipline, required.
  • A University degree in a related discipline preferred.
  • Four years' directly related office and administrative experience required.
  • Experience working with academic staff in a post-secondary education environment preferred. Work
  • experience in progressively responsible roles, required.
  • Experience carrying out basic bookkeeping tasks, required.
  • Experience working with and navigating various collective agreements, at the basic level, preferred.
  • Experience with a diverse set of software packages and portals, such as VIP, Aurora student, Banner, EPIC, Fast, Concur, REACH, or similar and comparable systems preferred.
  • An acceptable equivalent combination of education and experience may be considered.
  • Proficiency in basic and some intermediate functions in Microsoft Excel, required.
  • Proficiency in intermediate functions in Microsoft Word required.
  • Demonstrated customer service skills, with a strong customer focus, required.
  • Demonstrated strong verbal and written communication skills, required.
  • Knowledge of post-secondary policies and procedures and regulations, preferred.
  • Ability to plan, manage and implement new administrative initiatives and process improvement, required.
  • Ability to facilitate and coordinate work flow, required.
  • Ability to juggle several tasks at once while producing error-free work, required.
  • Ability to demonstrate tact, patience and diplomacy when dealing with sensitive matters or difficult customer interactions, required.
  • Ability to interface with all levels of University staff, students and public, required.
  • Ability to take initiative, work independently and set own deadlines and priorities, required.
  • Demonstrated knowledge of and ability to apply administrative best practices, required.
  • Satisfactory work record, including satisfactory attendance and punctuality, is required.
