Full Time Position Location: Sioux Lookout, Ontario

Salary Range $31.796 to $38.711 per hour

Job Summary:

The Optometry Coordinator is responsible for all incoming calls, reception duties as well as providing administrative support to the CSD Benefits Manager. The Optometry Coordinator must have excellent public relations skills, communication skills, clerical skills, computer skills, and the ability to work in a demanding work environment with the ability to travel to the 33 SLFNHA Communities.

Applicants must possess:

  • Business Administration Diploma or equivalent diploma in a related field
  • At least two years related work experience
  • An ability to understand and speak one or more of the First Nations dialects of the Sioux Lookout district: Cree, Ojibway and/or Oji-Cree an asset.
  • Previous experience working in the healthcare and or office administration is an asset
  • Strong understanding and working knowledge of the FNIHB-NIHB Policy Framework for: Medical Transportation, Vision, Dental, Medical Supplies & Equipment, Pharmacy and Mental Health Counselling
  • Able to communicate effectively to provide information on benefit eligibility criteria, identify problems and establish a strategy to obtain the necessary services.
  • Be fluent in one or more of the First Nations dialects
  • Experience and training in cultural competency with First Nations
  • Excellent written and verbal communication skills
  • Must be self-motivated and able to work independently
  • Demonstrates professionalism, accountability, and maintaining confidentiality
  • Ability to multi-task, meet deadlines and adapt in a fast-paced environment
  • Ability to effectively deal with the public and be a representative of SLFNHA
  • Must have a valid driver’s license
  • Be able to provide a satisfactory Criminal Records Check and Vulnerable Persons Check

Roles and Responsibilities:

  • In conjunction with the SLFNHA Communications Department, the Optometry Coordinator will develop a community profile summary sheet; and develop a communications strategy to the Ontario Optometrists Association, and Manitoba Association of Optometrists, about providing Optometry Services to the SLFNHA communities
  • Be active in the recruitment of new optometrists
  • Create an Optometrist’s orientation package for each community served
  • Coordinate clinic schedule dates for all Optometrists
  • Coordinate clinic schedules with Directors of Health, Nurse-In-Charge in each respective community (adheres to black-out dates)
  • Arrange all travel as required on a Travel Authority (TA) to be approved by Indigenous Services Canada (ISC)
  • Verify visit authorized and community space is booked
  • Create travel authorizations for date/times requested identifying estimated costs
  • Obtain authorization
  • Book airfare and accommodation
  • Confirms arrangements with optometrist
  • Payment of Invoices:
  • Verify invoices against purchase order
  • Follow up to authorize any charges not supported by purchase order
  • Follow up with vendor if necessary and/or issue payment
  • Reimbursement of Expenses:
  • Verify claim against travel authorization
  • Follow up to authorize any charges not supported by travel authority
  • Issue payment to optometrist with explanation of any changes
  • Complete and maintain PO’s for supplies and equipment and forward to suppliers:
  • Verify receipt of equipment and supplies
  • Follow up to authorize any charges not supported by purchase order
  • Issue payment to suppliers with explanation of any changes
  • Maintain all records: travel files, clinic dates, optometrist records, equipment and supply records
  • Works with the community to ensure optometry record storage is safe and secure
  • Confirms appointment lists for optometrists
  • Confirms accommodation in community
  • Act as the Liaison between the community and optometrist
