About us:

Subtle Enhancements is a female-owned and nurse-led cosmetic injectable practice with a focus on natural results. We are a small business, currently a team of two nurse injectors and we need help with social media, administrative duties, and assisting during procedures! We’re a close-knit team, and we are looking for the perfect personality to fit in with our team and our clients. We want a patient-focused, outgoing, and creative individual to join our team.

We’re a family run business, which means you’d be part of the family. It’ll be intimate and hands on. We want an individual to help manage our day-to-day operations and has the personality to fit into our family-style team.

We are looking for someone to start with us 12-15 hours per week, with the room to grow. You’ll be in the spa with us in West Toronto every Tuesday 10-3 and Wednesday 12-7 and some tasks done virtually. Occasionally, we might request you come to our Whitby location, so we would appreciate the flexibility. This position will eventually grow into a full-time position, and we’d like you to grow with us!

Qualifications

  • Down-to-earth and outgoing personality that provides patient-centered care
  • Background in spa industry or a passion to learn about this industry (1+ year preferred)
  • Retail and customer service sales experience
  • Excellent phone/email etiquette
  • Strong work ethic and a self-starter
  • Creativity, and the ability to offer suggestions without prompting
  • Proficiency in social media outlets and email marketing
  • Provide client confidently and understand PHIPPA, and HIPPA laws
  • Experience with social media and being on camera
  • High school and above

Duties

  • Help to manage our business social media (Instagram/Tik Tok). Answering direct messages in a timely manner and engaging (like, commenting, and sharing) with accounts on a consistent basis. Be open to being on camera and making content including reels and using canva (we work with a social media strategist so this will be a minor role).
  • Keeping nursing staff up to date on treatments and alerting them, when necessary, of treatments that review follow up or pre-care instructions discussed.
  • Keep a very detailed eye on the schedule and try to fill gaps in advance
  • Creating and sending email marketing using mail chimp (we have someone that writes the content, we just need it to be put together, make it look pretty and send out) 1-2 x per month.
  • Understand all medical aesthetic treatments and products that we offer. Be able to knowledgeably present, educate, market, and promote products and services to clients. Experience with Botox, filler, and other medical aesthetic treatments is an asset. Don’t worry we will have you try the treatments so you can speak from experience!
  • Answering google reviews using thoughtful responses and SEO words.
  • Create and manage electronic medical records, send consent forms, create reoccurring reminders for patients, send follow up emails.
  • Ensuring email is consistently organized, answering inquires, ensuring all emails have been answering/actioned and filed appropriately.
  • Manage client complaints and follow up emails in a warm and professional manner
  • Greeting client and ensuring a high-quality care experience from start to finish.
  • Cashing out clients, ensuring invoices are accurate, and reconciling payments at the end of shift.
  • Assisting in minor procedures such as preparing for treatments, helping during treatments including providing client distraction, comfort, and therapeutic communication and cleaning up after treatments.
  • Tracking inventory levels, reordering, and ensuring we are stocked appropriately.
  • Filming for social media and other advertising purposes.
  • General receptionist duties and light house cleaning
  • Assisting with charting, uploading pictures, lot numbers, treatment areas, ect.
