We are looking for a Receptionist & Administrative Assistant to join our team in our Toronto office!

As a Receptionist & Administrative Assistant, you will be responsible to be the face of BFL by greeting guests in a friendly manner and supporting the Regional Events Manager.

Your day as a Receptionist & Administrative Assistant

Core Duties

  • Greet guests in a friendly and courteous manner – ensuring professionalism at all times; advises team members in a timely fashion of their guests’ arrival
  • Answer all incoming lines quickly, efficiently, and professional manner
  • Know the teams in the office and provide backup service
  • Open and distribute incoming mail and courier deliveries. Ensure efficient courier management.
  • Keep track of incoming cheques, and date stamps
  • Efficiently distribute incoming faxes through the fax server
  • Maintain office (stationary) and kitchen supplies, i.e., coffee/paper towels/water etc. Ensure upkeep of the kitchen and reception areas.
  • Ensure upkeep of the Meeting and Board rooms.
  • Arrange for catering as required
  • Maintain reception manual ensuring it is always current
  • Assist with Filebridge (file retrieval)
  • Be part of the Health Safety Committee & Social Committee (Social is optional)

Admin Duties

  • Admin support to Regional Events Manager & EA - support event prep: name tags, tent cards, guest list etc.
  • Assist EA with expense reporting as needed
  • Create and distribute reports to VPs (AR and Sales Funnels)
  • Notable Wins collection and distribution

Our ideal candidate

  • 3-5 years of experience in an admin or support position
  • Good knowledge of the insurance brokerage industry
  • Computer savvy, with excellent knowledge of Microsoft Office Suite.
  • Strong verbal and written communication skills
  • Ability to work well independently and as part of a team
  • Proactive and eager to find efficiencies
  • Excellent organizational and time management skills
  • Detail oriented
  • Ability to work well with others throughout the organization
