Position Summary

The Residence Life Operations Coordinator conducts Wellness Checks, focusing on ensuring a safe and secure living environment for the Residents, and reports deficiencies to the Facilities department. Reporting to the Manager, Residence, the incumbent acts as a support for the students living in residence, and provides a wide range of administrative services for the residence, including all aspects for the Townhouse Residence, and room allocation and occupancy for students in the Apartment-style Residence.

Duties and Responsibilities

  • Coordinate all administrative aspects for the Townhouse Residence (i.e. receiving applications, student payments, contracts, placement of students, Utility company billings, etc.)
  • Conducts bi-weekly inspections of apartments to determine if there are any damages or safety concerns in the apartments, including assessing the well-being of students and determines if further intervention with student is necessary.
  • Resolves student issues and crisis as they arise, interacting with parents, emergency response personnel and outside resources in crisis situations
  • Coordinates facility maintenance and repairs as they occur from the inspections.
  • Processes Residence Applications, Room Assignment Questionnaire forms, and withdrawals
  • Analyzes Room Assignment Questionnaire forms to determine best roommate groupings, and best suited locations based upon the information provided.
  • Communicates with students where there are special requests made regarding placement, or where information has changed after the form has been submitted.
  • Liaise with the AccessAbility office where students have indicated a need for specialized accommodations on their application.
  • Coordinates room change requests by students.
  • Monitors occupancy levels throughout the year, and makes necessary changes in room assignments
  • Administrator for the Residence Facebook group, and other Residence social media groups

Qualifications

  • Completion of a two (2) year diploma in Business Administration, Office Administration, or related discipline
  • A minimum two (2) years experience in a Residence environment, with a good understanding of Residence Life and office administration
  • Additional certifications in Alcohol and Substance Abuse Training, Conflict Resolution/Crisis Intervention/De-escalation Training, Mental Health First Aid Training are considered assets
  • Effective interpersonal and problem-solving skills, conflict, stress management and resiliency
  • Proficient with MS Suite including Word, PowerPoint and Excel
  • Aptitude or ability to work with relevant College systems and databases
  • Well-developed interpersonal and written and oral communication skills
  • Ability to work both co-operatively, to accomplish joint tasks and build positive working relationships and independently
  • Superior communication (oral and written) skills
  • Excellent interpersonal skills and cross-cultural sensitivity
  • Conflict mediation, superior problem solving and crisis management skills
  • Successful completion of a Vulnerable Sector Check required prior to hiring
