Job Summary:

The Administrative Assistant contributes to the overall success of A1 Transportation Academy by providing high quality administrative support to assist in the execution of our daily business. The Administrative Assistant ensures that all activities are in compliance with internal policies and procedures. Administrative Assistant builds strong partnerships across the company and with our clients to provide support for the team. We are looking for a multi-tasker with excellent communication skills and an upbeat attitude. Candidate should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations, and generally being a helpful and positive presence in the workplace.

Job duties:

  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing system are maintained, and clerical functions are properly assigned and monitored.
  • Serves as a liaison between employees, students, instructors, and vendors.
  • Establishes sound business relationships by providing courteous and efficient assistance to both students and vendors.
  • Determines and establishes office processes and policies in compliance with the law.
  • Organizes, scans, copies, and maintains student files / materials, correspondence and other records/materials as required and in compliance with internal rules and regulations.
  • Communicates with the students and vendors in compliance with internal procedures and as required
  • Prepares all the contracts to be signed by students as requested.
  • Assemble Data and prepare periodic and special reports, manuals, and correspondence.
  • Participate actively in the planning and execution of the company events
  • To ensure that complaints from clients are heard and taken care of and ensure smooth working of office.
  • Open and distribute regular and electronic incoming mail and other material and coordinate the flow of information
  • Answer telephone and electronic enquiries and relay telephone calls and messages
  • Type and proof-read correspondence, forms and other document.
  • Arrange travel schedules and make reservations
  • Following up on accounts receivables.
  • Set up and maintain manual and computerized information filing systems
  • Schedule and confirm appointments and sales and office meeting
  • Order office supplies and maintain inventory
  • Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person
  • Record and prepare minutes of meetings
  • Supervise and train office staff in company policies procedures.
  • Champions a high-performance environment and contributes to an inclusive work environment
  • Assumes ad hoc projects as they arise in support of management, including the gathering and compiling of data from various source.

· Experience and Qualifications:

  • Strong Communication skills in English.
  • Proficient in Microsoft Office: Word, Excel, Outlook, and PowerPoint
  • Strong time management skills
  • Strong organizational skills, multitasking and ability to prioritize tasks
  • Ability to work well independently but also be a strong results-oriented team player
  • Ability to multitask

Additional Information

Schedule:

  • 8-hour shift
  • Overtime as required
  • Flexibility to work weekends and evenings as required.
