Reporting to the General Accountant, the Work Order Desk Clerk is a customer service position which provides the campus its’ first impression of the Physical Resources department. As the first contact for all facilities issues, inquiries, and complaints, the successful candidate must act independently and confidently in addressing the client’s concerns. This position will actively listen, gather details regarding the issue in order to best direct next steps and triage the issue. It is extremely important for the individual to listen carefully, be pleasant, polite and patient with callers. Working alongside a second clerk, the individual must be able to collaborate and work together to efficiently address issues. Together they exercise judgement to interpret the level of urgency, assign the appropriate PR trade(s), and determine whether work is chargeable while maintaining a positive and friendly attitude. These requests arrive in multiple forms simultaneously, including work desk calls, emergency line calls, work request e-mails, police sheets, residence desk orders and online work orders. Other responsibilities include drafting and sending work disruption and emergency shut down notices, transferring and closing work orders, as well as responding to freezer temperature alarms, and other duties as assigned by the General Accountant or other staff in Physical Resources.

Requirements for the position include: A one (1) year community college diploma in business administration or related field of study, combined with up to a year of previous experience working in a similar setting. Candidates with an equivalent combination of education and experience may also be considered. The work order desk can receive upwards of 100 calls and 40 e-mails each day, making multi-tasking in a fast-paced environment essential. The successful candidate will have strong interpersonal and communications skills, displaying a high level of tact in dealing with sometimes difficult clients. A positive attitude, patience and politeness are a essential. The successful candidate must work well with others, be conscientious; reliable, disciplined, methodical in their problem solving, organized and goal driven. Strong organizational and decision-making skills are also important in order to respond quickly to issues as they arise. The successful candidate must be a good listener and in order Knowledge of Microsoft Office is required. Familiarity with the University campus and Physical Resources operations would be considered an asset.

Job Types: Full-time, Fixed term contract

Salary: $21.76-$24.30 per hour
