KCDSB invites applications for two (2) 1.0 FTE 11-Month Permanent Administrative Assistants – Secondary at St. Thomas Aquinas High School in Kenora, ON to commence employment asap.

Position Summary :

The successful incumbent of the Administrative Assistant – Secondary will be responsible for providing administrative support and services to the school in all aspects of its day-to-day operations. The individual will work in a team-based environment and display a high degree of professionalism and diplomacy in dealing with students, staff, parents, volunteers, the general public and external agencies. The Administrative Assistant – Secondary is often the first point of contact for all visitors and callers to St. Thomas Aquinas High School and must convey a professional and positive public image for the school.

Position Duties and Responsibilities:

  • Provide administrative support in the day-to-day operations of the school
  • Maintain computerized student information system (ASPEN) and ensure accuracy of data input
  • Prepare professional correspondence, memos and documentation regularly
  • Input and maintain accurate schedules for the elementary and secondary timetables
  • Assist and manage report card preparation
  • Compile and collate data using various computer programs in order to prepare reports for the Board, Ministry of Education, or other external agencies as authorized by the Principal
  • Provide receptionist services to staff, students, and general public responding to frequent inquiries
  • Answer the telephone to provide information, take messages and direct calls as required
  • Liaise with internal staff and external agencies
  • Assist the school administrative team during emergency and medication situations, including the dispensation of medication and administrative of basic first aid protocols
  • Demonstrate an understanding of sensitive nature of information shared within the school and maintain confidentiality at all times
  • Perform other duties as required which are considered within the intent and scope of this position
  • At the Principal’s discretion perform other duties as required which are considered within the intent and scope of this position as a board employee.
  • Participate in Health and Safety training.

Qualifications:

  • Completion of a diploma/certificate program from a recognized institution in Office Administration/Management or an acceptable equivalent obtained through relevant job training and experience
  • Training and/or experience in a computerized office environment utilizing an advance computer system with proficiency in Microsoft Office, Outlook, Website maintenance and the internet
  • Excellent organizational, interpersonal, oral and written communication skills as well as the ability to adapt and change as required to meet the needs of a diverse school and community population are necessary
  • Ability to work calmly under pressure
  • Ability to handle frequent disruptions in a fast paced environment
  • Strong organizational skills
  • Employment experience related to working with children or youth preferred

As a permanent Administrative Assistant, this is a contract position requiring that you work during the school year only. There will be school shut down periods in December (Christmas Break), March Break and during the summer months when you are not required to work and are therefore, eligible to apply for Employment Insurance.
