Job Summary
The School of Nursing is recognized for advancing nursing knowledge, practice and policy. Reporting to the Administrative Manager, the undergraduate administrative assistant provides confidential, administrative, and secretarial support to the School of Nursing, Faculty of Health. The incumbent must maintain knowledge of University, Faculty of Health, School of Nursing program policies, procedure, guidelines, processes, and deadlines.

Key Responsibilities
  • Problem-solve with respect to one-of-kind scenarios and tailor communication, e.g., content style and medium, to diverse audiences.
  • Prepare, compose, and edit a variety of documents; including highly confidential correspondence, briefing materials and proposal for matters regarding faculty, staff and students, university business; synthesizing and formatting documents ensuring materials are submitted by others as required.
  • Support strategic initiatives, determining best practice and preparation of briefing notes. Administrative support for the inputting of data/information into specific strategic planning software, AchieveIt.
  • Provide administrative support for all part-time academic hires; sessional, teaching assistants; and casual support staff – simulated patients.
  • Prepare and maintain the School of Nursing academic timetable for each term (using the University timetable system. Ensure timetable data, including classes and resources, are accurate and complete and liaise with the University’s Registrar Office, Timetable Team.
  • Schedule committee meetings for the academic year and provide administrative support to the Undergraduate standing committees.

Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.

Required Qualifications
  • Business/Office Administration program with approximately two to three years’ of related work experience (or equivalent qualifications and experience).
  • Proficiency in MS Word, Excel, Microsoft Outlook.
  • Highly proficient in database development and management, strong customer service.
  • Excellent communication, organization and a high level of competency in time management and multi-tasking skills.
