$18.62 - $23.61 per hour ($31,460 - $39,901 per annum, 32.5 hours per week). This is a 0.538 FTE position so annual salary will be pro-rated to $16,926 - $21,466 (17.5 hours per week).

Job Summary
The Faculty of Health is the second largest Faculty at Dalhousie, comprised of eight schools, one college and one program, three affiliated partners and more than 200 faculty members, 80 staff members, hundreds of part-time employees and over 3000 students. Reporting to the HR/Office Manager, the Administrative Assistant/Receptionist provides general administrative assistance to the Dean’s Office as well as more dedicated administrative support to the Faculty’s Director of Human Resources and the HR/Office Manager.

Key Responsibilities
  • Answers telephone and greets visitors. Screens and/or redirects inquiries as required. Provides general office support including basic computer and equipment troubleshooting; key coordination; submitting work and supply orders.
  • Prepares appointment letters for Non-DFA Sessionals, Adjuncts, Cross Appointments, temporary staff letters for HR/Office Manager or HR Director review.
  • Files confidential payroll and personnel materials and maintains up to date digital files.
  • Assists with scheduling meetings for searches; book rooms, catering, audiovisual equipment; prepare meeting packages; assist with the development of itineraries; coordinate logistics; and assist with tracking of expenses.
  • Assists the HR/Office Manager in the annual collection of over 200 DFA Workloads, Annual Reports and CVs. Maintains database and follow-up on outstanding documents.
  • Assists Manager of HR and Director of HR with special projects as required.

Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications
  • Business/Office Administration diploma with approximately three years related work experience (or equivalent combination of training and experience).
  • Demonstrated ability to work independently and to use own initiative.
  • Excellent communication (verbal and written) and interpersonal skills.
  • Strong attention to detail, adaptability and organizational skills.
