The Ministry of Immigration and Career Training is seeking an energetic team player to join our team as an Administrative Coordinator. Reporting to the Director of the Provincial-Territorial (PT) Immigration Secretariat, the Administrative Coordinator will provide support to the PT Immigration Secretariat as well as the Labour Market Intergovernmental Unit.

The PT Immigration Secretariat facilitates multilateral collaboration and communication among PT ministries responsible for immigration and supports the Forum of Ministers Responsible for Immigration (FMRI) to shape shared strategic objectives and related outcomes for immigration policies and programs within Canada. The Labour Market Intergovernmental Unit is responsible for advancing the Government of Saskatchewan’s interests at federal/provincial/territorial tables and supporting credential recognition for skilled workers.

The successful candidate will have a demonstrated commitment to client service. This position will be responsible for:

  • Providing administrative services for the PT Secretariat and Labour Market Intergovernmental unit, including correspondence with diverse group of Federal/Provincial/Territorial (FPT) government staff, records management, contract management, and travel coordination.
  • Assisting with Ministerial/ Deputy Ministerial/ and Senior Officials teleconference and meeting coordination, including scheduling, the timely distribution of materials, and assessment and booking external meeting facilities.
  • Managing contact databases so they are current and accurate for all FPT working groups.
  • Assisting with the financial administration of the PT Secretariat.
  • Coordinating and maintaining the website for the FMRI.
  • Proofreading and formatting documents.

You will have a high school diploma supplemented by the completion of a one-year (1) post-secondary program in the area of office management or business administration or a related field and a minimum of four (4) years related experience of administrative work. Experience with e-mail, virtual meetings, the Internet, and Microsoft Office software, including Excel, is necessary. An equivalent combination of training and experience may be considered.

Applicants must clearly demonstrate the following essential qualifications to be given further consideration:

  • Clear and effective communication with senior leaders.
  • Ability to handle sensitive and confidential information in a professional manner.
  • Experience in event planning and coordination
  • Experience with Microsoft software packages, including Excel.
  • Written and spoken competence in English suitable for a professional envrionment. French language ability is an asset.
