Position Overview

The People Process and Solutions Team within Human Resources is currently seeking a Full-time Regular Advisor.

The People Processes and Solutions team is comprised of four main focus areas, three of which manage processes and transactions and provide advice related to the employee lifecycle: staff focus, academic focus and benefits focus. The team also includes the systems and analytics group and supports a continuous improvement function. The focus areas are responsible for the day-to-day operational and people-related transactions and are a key point of contact for reports-to-managers, employees and candidates/applicants. Much of the work of this team is operational and requires process excellence with a commitment to customer service.

This position will fall under staff focus, reports to a Team Lead, People, Processes and Solutions, and requires managing competing interests with satisfactory outcomes for all, including high need for accuracy and attention to detail, numerous conflicting deadlines, and continuously shifting priorities. The role has a strong focus on comprehensive and proactive HR customer service and support. Significant cross-functional teamwork and communication is required with Human Resources staff, employees and managers across the university community.

This position deals with highly confidential human resource and labour relations information and requires the ability to exercise considerable discretion. It requires working knowledge of the University of Calgary's various collective agreements with bargaining units.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Advise on standard practices and associated practices involving collective agreements as it relates to recruitment
  • Create Job Openings and related job postings on HR website
  • Coordinate and advise on sourcing and recruitment advertising
  • Prepare offer letters in consultation with hiring manager
  • Respond to questions and issues raised to the team; investigates and verifies information; informs other interested parties and provides feedback to employees and other university stakeholders on employee specific situations and business processes.
  • Provide knowledge, advice, and guidance on recruiting, hiring and onboarding processes to employees, managers, HR staff and other university stakeholders
  • Approve and finalize hires in PeopleSoft HCM through system tools and manual entry
  • Maintain data integrity for personal and hire information, query management and daily processes
  • Process resignations, retirements and terminations for all employees groups in PeopleSoft
  • Follow up with managers ensuring appropriate termination paperwork is completed
  • Job change processing (online and manual)
  • Employment verification letters

Qualifications / Requirements:

  • Post secondary education in a related field (eg. Human Resources, Business Administration)
  • Two (2) to three (3) years of recent, related experience
  • An equivalent combination of education and experience may be considered
  • Proven organizational and time management skills are required, with the ability to prioritize to meet deadlines, set priorities, manage competing deadlines, and meet commitments.
  • Strong attention to detail, demonstrated analytical and problem-solving skills are essential to deal with issues and concerns.
  • High degree of initiative, requiring minimal supervision
  • A commitment to learning, variety in work and "doing what it takes to get the job done"
  • Experience working in a unionized and post-secondary environment is an asset.
  • Ability to function independently and also as part of a team.
  • Excellent communication and customer service skills, both written and verbal
  • Strong interpersonal skills, with the ability to build effective working relationship and collaborate with internal and external clients
  • Strong proficiency with Word, Excel, PeopleSoft or other HRIS
