Opportunity

The Executive Assistant (EA) aims to carry out the strategic objectives of (PCRS) through the provision of effective and efficient administrative support to the Chief Executive Officer (CEO), the Board of Directors and agency executive leadership team. This position will support the executive leadership team to ensure the activities and actions of the agency are communicated and documented to the larger agency. As this position will work closely with the CEO and executive leadership team it is integral that the candidate have an understanding of not-for-profit governance, agency policy and procedures, applicable legislation, cultural sensitivity, and diversity and inclusion while maintaining strong boundaries and confidentiality. This role will work support leaders both in person and virtually. As our organization spans from Vancouver to Chilliwack and will require occasional travel to these communities. The hours for this position are primarily Monday through Friday during the day but as a support to the Board of Directors, the executive administrative assistant will need to be available for Board meetings which are held in the evenings once every six weeks and some weekend events which are held a few times each year.


The ideal candidate would be someone who has a passion for supporting vulnerable youth and believes in the work of PCRS. This role will work one-on-one with the CEO and executive leadership team as well as independently on projects. This candidate would be technically savvy, have attention to detail, and comfortable handling a variety of activities and confidential matters with discretion.

Responsibilities

  • Coordinate Board of Directors, Directors, and Leadership team meetings. Prepare meeting rooms, food and beverages, agendas, take minutes, proof, and distribute.
  • Support the CEO to ensure updates to the daily and annual calendar, travel preparations, completed expense reports, meeting preparation, ensuring pertinent information and follow up are readily available.
  • Support executive leadership team with committee coordination, agenda, and minute preparation.
  • Support agency wide initiatives, event planning and logistics.
  • Monitor emails, draft correspondence, prepare presentations and develop materials for distribution.
  • Network with sector and other stakeholders in relation to policy or other agency priorities as assigned.
  • Provide coordinate the maintenance of agency policy.

Qualifications

  • Bachelor’s degree in a relevant discipline, combined with at least five (5) years’ experience in a senior administrative position. An equivalent combination of education and experience will also be considered.
  • Strong communication skills – both verbal and written
  • Excellent interpersonal skills and the ability to build relationships.
  • Ability to be nimble – adapt quickly to changing or evolving priorities.
  • Proficient in Microsoft Office Suite (Teams, SharePoint, Outlook)

Additional Assets

  • Experience in the not-for-profit sector
  • Experience working with a CEO, Executive Director or senior leadership team.
