North Central Co-op is hiring an Executive Administrator on a permanent basis reporting to the Director, Finance. This position requires on-site work and is based in Stony Plain, Alberta.

What you’ll do:

The Executive Administrator (EA) is a critical member of our organization’s leadership team. The EA is responsible for providing confidential and corporate administrative support to the Board of Directors, Chief Executive Officer (CEO) and Senior Leaders.

  • Prepare, edit, and administer correspondence, communications, presentations, and other documents as necessary while ensuring strict confidentiality. This includes capturing and distributing accurate Board meeting minutes and agendas, preparation of quarterly and monthly reports, maintaining and updating Board policies, organizing, and filing information.
  • Prepare the Board, CEO and/or Senior Leaders for meetings, coordinating schedules, follow-up meetings, required travel, and any additional administrative tasks such as time off requests, expense claim management and IT service needs, etc.
  • Manage, co-ordinate, and maintain an up-to-date calendar for the Board, CEO and/or Senior Leaders, including recurring and ad-hoc meetings. Ensure all relevant background information and materials are provided proactively for meetings. Anticipate the various and complex needs of the Board of Directors, CEO and/or Senior Leaders, ensuring that confidentiality, discretion, and professionalism is always displayed.
  • Participate, engage, and provide input in North Central Co-op programs, initiatives, committees, and additional administrative duties as required. Oversee incoming donation and community requests.

The Collaborators: You will work closely with other functions in our Administration business unit and collaborate across the organization.

Who you are:

You are looking for a career in Administration and have:

  • A Diploma, with a preference for Office Administration or Office Management.
  • 3 – 6 years of relevant experience supporting senior levels of leadership. (a combination of relevant education and experience may be considered).
  • Specialized training or experience in Robert’s Rules of Order.
  • Experience supporting a Board of Directors or government council setting is preferred.
  • exceptional organizational skills, excellent communication, interpersonal abilities, and a strong track record of being a proactive problem solver.
