About the Job:

The primary responsibility of the position is to provide support to the President. As with all positions at The Gala Bakery we expect that all actions will be consistent with The Gala Bakery’s Mission, Vision and Values.

Position Accountabilities:

  • Provide confidential support to the President.
  • Prepare letters, PowerPoint presentations, memos, correspondence and other documents as required.
  • Prepare and distribute reports as requested or required.
  • Manage multiple assignments concurrently, maintain a high degree of confidentiality and demonstrate ethical standards at all times.
  • Manage the use and reconciliation of the Corporate Credit Card & reporting.
  • Coordinate and draft monthly KPI updates.
  • Coordinate Town Hall, Service Award celebration/luncheon and any other employee meetings that may be chaired by the President.
  • Manage and Support all Trade Shows.
  • Open, sort and coordinate all incoming mail and daily reports for Senior Management.
  • Coordinate all International travel arrangements and hotel accommodations for The President.
  • Coordinate meals required for monthly Senior Management meetings and any other company function.
  • Manage calendar and email for President.
  • Filing and maintenance of confidential company information.
  • Take minutes of Senior Management Meetings.
  • Manage organizational charts
  • Other duties and special projects as requested by President.

Experience and Qualifications Required:

  • Post-Secondary education and a minimum of 3+ years of experience of administrative experience supporting multiple executives.
  • Proficiency with MS Office required specifically PowerPoint and Word.
  • Excellent written and verbal communication skills with strong attention to detail
  • Excellent analytical skills, resourceful and well organized. Ability to analyze and interpret financial data.
  • Excellent customer service and problem resolution skills.
  • Comfortable performing multi-faceted tasks and ability to deal with high volume, multiple requests in conjunction with day-to-day activities to deliver results within timeframes.
  • Excellent interpersonal skills with ability to get along with diverse personalities, tactful, professional and flexible.
  • Strong work ethic and must maintain a high degree of confidentiality and professionalism required.
  • Must have experience working both independently and in a team.
