Executive Assistant

Start date: June 2023
Position Type: One-Year Contract with possibility of renewal
Schedule: 24 hours/3 days per week
Wage: $23.61 per hour

We are seeking one (1) new team member to work directly with the Chief Executive
Officer as Executive Assistant. Work hours will primarily take place Monday to Friday on a set schedule. Participation in evening meetings one or two times per month is required. Occasional work may be needed to assist with time-sensitive or urgent tasks that require the attention of the CEO and/or the Executive Assistant over a weekend.

The Executive Assistant is responsible for providing comprehensive support to the
CEO and Board of Directors and requires the ability to anticipate needs, think critically, and offer solutions to problems with a high degree of professionalism and confidentiality.

Job Duties

  • Coordinate, attend and take minutes for Board of Directors meetings, staff meetings, and other gatherings.
  • Prepare and distribute communications to Board and staff.
  • Prepare and produce complex documents, reports, and presentations utilizing excellent formatting and grammar.
  • Provide support to staff members in line with the CEO’s responsibilities.
  • Assist the CEO in administering strategic initiatives such as the Girls Inc. Limestone Strategic Plan, Diversity, Equity and Inclusion Roadmap, Capital Program Delivery Campaign, and Marketing and Communications Plan.
  • Research, review and write policies and procedures.
  • Other related tasks as assigned.

Qualifications and Experience

  • Successful completion of a Canadian Police Information Centre (CPIC) clearance, including a Vulnerable Sector Check.
  • Exceptional written and verbal communication skills.
  • Extensive knowledge, experience and abilities using Microsoft Office 365, including Word, Excel, and Outlook.
  • Possesses above-average organizational skills and impeccable attention to detail.
  • Tech savvy - advanced computer knowledge and ability to lead and assist others using Microsoft Office and communication applications like Zoom.
  • Ability to act as a moderator for in-person and virtual meetings.
  • Ability to execute work with a diversity, equity and inclusion lens.
