The School of Cities is multidisciplinary, institutional strategic initiative. We are a solutions incubator for urban-focused researchers, educators, students, practitioners, institutions, and the general public to explore and address the complex global challenges facing urban centres. Under the direction of the Executive Director, the Finance and Administration Officer will principally support the overall operations of the School by undertaking such activities as finance transaction support, compiling and verifying financial documents, reviewing and processing payroll timesheets, budget tracking, providing administrative support for the School, including, but not limited to, reception duties, room bookings, ordering supplies, and responding to general enquiries.


Under the supervision of the Executive Director, they will ensure the accurate processing of financial and payroll transactions, and ensuring high level of client support and service. They will ensure they are meeting deadlines, while also participating in events and program support as needed by the Academic Director and senior team.


Your responsibilities will include:


  • Processing accounts payable to the University Guide to Financial Management

  • Processing experience reimbursements

  • Processing payroll

  • Recording detailed transaction for many accounts

  • Comparing forecasted figures to actuals

  • Generating standard financial reports

  • Verifying the accuracy and completeness of information

  • Verifying the accuracy of absence and/or attendance reports prior to processing payroll

  • Collecting supporting documentation required for accounting, payroll and/or HRIS processing

  • Acting as the first point of contact for general enquiries

  • Providing administrative support to the School staff and directors

  • Drafting correspondence regarding administrative and financial processes


Essential Qualifications:


  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.

  • Minimum three (3) years' related financial administration experience including experience working with AMS systems - FIS, HRIS and RIS.

  • Experience posting and processing financial transactions related to accounts receivable and accounts payable, reconciling accounts, resolving discrepancies.

  • Experience posting and processing payroll timesheets, administering HRIS profiles, and resolving discrepancies.

  • Experience generating and analyzing financial spread sheets and reports.

  • Experience applying financial guidelines.

  • Demonstrated knowledge of accounting and financial principles.

  • Excellent attention to detail and skilled in reviewing and analyzing financial reports and keeping track of a variety of information.

  • Advanced skills in MS Office programs including Word and Excel, strong and accurate word-processing and keyboarding skills.

  • Strong organizational and time management skills in order to meet conflicting deadlines.

  • Demonstrated tact and positive disposition for problem-solving, discretion in handling confidential information.

  • Demonstrated team-player with excellent communication and interpersonal skills.
